ABOUT OLDHAM COLLEGE

ABOUT THE ROLE
We are seeking a committed Exam Access Arrangements (EAA) Coordinator to support the effective delivery of College services and priorities.
KEY RESPONSIBILITIES
In this role you will:
- Review Education, Health and Care Plans (EHCPs), historical Form 8 documentation, and other relevant records during the enrolment and transition process to identify learners’ access arrangement needs.
- Liaise with previous schools, colleges, and other educational settings to obtain evidence and information relating to learners’ existing access arrangements where appropriate.
- Respond to enquiries from parents and carers regarding access arrangements and provide information and guidance as required.
- Adapt access arrangements to suit non-traditional exam formats, including online functional skills tests, practical assessments, and trade workshops.
- Collaborate with work-based learning tutors to establish accommodations for apprentices during their End-Point Assessments (EPAs).
- Liaise with the Systems and Reporting Team to ensure learners with Exam Access Arrangements (EAA) are accurately identified and visible within college systems, enabling staff to access relevant information and implement approved arrangements consistently.
- Track "Normal Way of Working": Collate medical evidence and tutor observations, complete formal forms (e.g., Form 8, Form 9) to prove arrangements mirror daily classroom practice.
- Build and organise robust digital or paper evidence files for every student to pass rigorous external JCQ and awarding body inspections.
- Complete and maintain required documentation, including Form 8, Form 9, and any associated records, ensuring compliance with JCQ and awarding organisation regulations.
- Deliver verified, live tracking lists of student requirements to the central Exams Office
- Provide targeted training to Curriculum & ALS Teams on identifying needs and compiling regulatory evidence.
- Ensure learners understand their approved access arrangements, how they will be applied in practice, and the expectations for their use in assessments and examinations.
- To organise and coordinate student files and data, ensuring required evidence is up to date including the qualifications of assessors
- To respond to queries from stakeholders in a timely manner in accordance with the College’s Communication Policy
- To provide former students with EAA information for the benefit of rolling forwards the concession to Further or Higher Education
- Carry out duties in line with College policies and procedures, including safeguarding and equality commitments
SKILLS AND EXPERIENCE
We are looking for someone who can demonstrate:
- GCSE English and Maths (Grade 4 / C or above)
- Strong administrative experience in a fast-paced Further Education college, Sixth Form, School or training provider environment.
- Proven track record of managing large datasets and complex compliance frameworks.

Thorough, up-to-date knowledge of JCQ Access Arrangements guidelines and the Equality Act 2010.

Proficiency with college Management Information Systems (e.g., EBS, ProMonitor) and specialist assistive software.

Ability to stay organised, calm, and accurate when processing hundreds of student records simultaneously under tight deadlines.
- Prior experience working with students who have Special Educational Needs and Disabilities (SEND).
