Freelance Legal and Medical Transcribers
Home-based, UK only · Self-employed · Approx. 5–8 hours of audio per week · DBS and SC vetting required — sponsored and paid for by us
About the work
Transcription City provides transcription alongside legal and medical work. The material is confidential, terminology-heavy and unforgiving on format.
This takes more than a fast, accurate typist. It takes a good ear, the judgement to follow a style guide to the letter, and the patience to research a name, a citation or a drug until you are certain of it. Every job is produced into a client template with its own protocol, style and layout rules, applied exactly, every time. This is not general audio typing.
What the work involves
- Transcribing audio and video recordings — often multi-speaker, sometimes with variable quality and heavy specialist terminology.
- Working into supplied templates governed by strict protocol and formatting rules. Consistency with house style is a contractual requirement, not a preference.
- Researching names, citations, medications and procedures so the transcript is accurate and complete.
- Proofreading your own work, maintaining glossaries, and acting on feedback from our quality checks.
- Flagging poor audio and marking inaudible passages properly rather than guessing.
Volume and turnaround
- Typically 5 to 8 hours of audio per week, though volume fluctuates and no weekly quantity is guaranteed.
- Turnarounds vary widely: some jobs are same-day, others allow more than ten days.
- You decide what you accept. Once you have, the deadline is firm.
What we need from you
- Solid, demonstrable experience of legal and/or medical transcription.
- Proven experience of working from audio and video into templates carrying their own strict protocol and formatting rules.
- Excellent English grammar, punctuation and vocabulary, and confidence with legal and/or medical terminology.
- Fast, accurate touch typing — around 75 wpm or better — with an excellent ear and real attention to detail.
- Reliability and clear communication: tell us early when a file is wrong rather than pulling heroics at the deadline.
- Self-employed status in the UK, invoicing us for your work, with a UK bank account.
Equipment and set-up
- A dedicated, secure Windows computer, not shared with anyone else, running Word 2010 or later.
- Stable broadband and good headphones. A foot pedal (Infinity IN-USB 2 or 3, or equivalent) is strongly recommended.
- Willingness to work to our information security procedures: secure file handling, device encryption and password policy.
Helpful, but not essential: three or more years in court, tribunal, inquiry or clinical transcription; BIVR accreditation or an equivalent qualification; familiarity with FTR, Liberty or VIQ; existing DBS or SC clearance.
Vetting and residency — please read before applying
Because of the end clients we work for, these conditions are not negotiable:
- UK residency and UK-based working. You must be resident in the UK with the right to work here, and must carry out all work while physically in the UK. Files must not be accessed from outside the UK.
- DBS and Security Check (SC). You must hold, or be willing to undergo, a DBS check and SC clearance processed by UK Security Vetting.
- Eligibility. SC normally requires a sustained recent period of UK residency — commonly five continuous years immediately before application. Vetting covers identity, criminal record, financial history and Security Service checks, and takes several weeks.
- Confidentiality. All transcribers work under a non-disclosure agreement and data handling procedures.
Some agencies expect transcribers to fund their own checks. We do not.

We would rather discuss rates individually than publish a figure that tells you nothing about the work. Send us your CV; if there is a fit, we will come back to you with the rate and the detail of the work so you can decide.
