Lead Receptionist / Clinic Administrator

Full-time, Permanent | Taunton | £31,000–£34,000 per annum, depending on experience

We are looking for an exceptional Lead Receptionist / Clinic Administrator to join our busy multidisciplinary clinic in Taunton.

This is a key position within the clinic. As well as providing an excellent front-of-house service, you will oversee and support our existing reception team of two receptionists, helping to ensure consistently high standards of patient care, communication and administration across the clinic.

You will often be the first point of contact for our patients, so we are looking for someone who combines excellent administrative and organisational skills with a genuinely warm, approachable and professional manner.

Patient care is at the heart of everything we do. The successful candidate will understand that a positive patient experience begins from the very first telephone call or interaction with reception.

Working closely with the Operations Director, you will take responsibility for the smooth day-to-day running of reception and play an important role in ensuring the clinic operates efficiently and professionally.

Key responsibilities will include:

  • Overseeing the day-to-day running of reception and providing guidance and support to our two existing receptionists
  • Helping to organise and prioritise the reception team's workload to ensure the clinic runs smoothly
  • Maintaining high standards across the reception team, particularly in relation to patient care, telephone manner, communication and administration
  • Acting as a point of support for the receptionists when dealing with more complex patient queries or situations
  • Identifying day-to-day issues within reception and resolving them where appropriate, escalating to the Operations Director when necessary
  • Providing a welcoming, professional and efficient reception service
  • Acting as a first point of contact for patients, both in person and by telephone
  • Booking and managing appointments and responding to patient enquiries
  • Providing clear and accurate information about the services offered by the clinic
  • Managing emails and other patient communications promptly and professionally
  • Maintaining accurate and confidential patient records
  • Handling payments and cash accurately
  • Monitoring and replenishing clinic and office stock
  • Working closely with the Practice Manager to maintain efficient systems and procedures
  • Supporting the implementation and ongoing review of Health & Safety procedures, including fire drills and associated record keeping
  • Undertaking additional administrative and operational responsibilities appropriate to the role

About You:

  • Confident providing day-to-day leadership, support and direction to other members of the reception team, while creating a positive and collaborative working environment

Hours: Monday - Friday: 08h30 - 17h30
