RESPONSIBILITIES OF RELIEF MATRON

The Relief Matron’s duties will be similar to those of the Matron. The Relief Matron provides cover during the Matron’s 30 hours off duty each week during term time. There are 31 occasions each academic year when the duty is required, for each house. The list below outlines the Relief Matron’s main duties:

Pupil Welfare

The Relief Matron is expected to:

  • assist the House Don in providing a high level of pastoral care for the pupils;
  • run House surgery in the morning, at lunch, tea and in the evening, dealing with regular medication, minor ailments and injuries;
  • transfer/accompany sick/injured pupils to the Health and Wellbeing Centre, if necessary escorting pupils to appointments at the hospital, etc., always reporting back to the Health and Wellbeing Centre afterwards;
  • issue prescribed medicine in accordance with current regulations, as required;
  • maintain a record of pupils’ illnesses and their treatment;
  • escort pupils to routine appointments by prior arrangement.

General

The Relief Matron is expected to:

ensure a clear handover takes place with the Matron covering all aspects of their time on duty;

  • answer parent emails, following the guidance of the House Don;
  • be on call when not physically required in the House, and to carry the House mobile phone at all times while on duty;
  • respond to emergencies at any time during the day or night while on duty;
  • complete the iSAMS registers for the period on duty, recording medical status and authorised absences;
  • report any safeguarding concerns on the online CPOMS system;
  • attend lunch and tea when on duty;
  • liaise with boarding house staff regarding any absences, and inform the Matron in the handover;
  • contact Human Resources about any concerns about staffing, including Domestics provision, as required;
  • assist the House Don on occasion with certain duties while on duty (e.g. House events);
  • supervise exam isolation when necessary;
  • maintain appropriate confidentiality given the sensitive nature of certain aspects of the duty.

As well as Relief Matron, there are other opportunities in the College that potentially could alongside this role.

It is desirable that the Relief Matron has their own car available for use if taking pupils to appointments or in an emergency. The College insurance covers this use.

Health and Safety

The Relief Matron will assist the House Don in meeting Health and Safety standards in the House for both pupils and staff.

This includes:

  • attending central College safety and safeguarding training;
  • maintaining an Emergency First Aid at Work Certificate (provided by the College);
  • following all the Boarding House fire procedures as per the Fire Risk Assessment;
  • maintaining the accident records as and when required;
  • reporting any safety failings to either the House Don, Matron, or the Works Department.
