Job Overview

DCS Services Ltd are seeking a motivated and organised Contract Support to assist with the day-to-day coordination and administration of reactive maintenance and minor works across our Facilities Management contracts.

This role is ideal for someone looking to develop a career within Facilities Management and Project Coordination, supporting engineers, managing client requests, and ensuring works are delivered efficiently from quotation through to completion and billing.

Working closely with the Lead Contract Support, the successful candidate will gain exposure to all areas of facilities management including reactive maintenance, compliance works, financial administration, scheduling, and client communication.

This position offers the opportunity to gain experience in the full lifecycle of facilities works, from reviewing engineer reports and preparing quotations, through to scheduling works, raising purchase orders, and supporting the financial administration of completed jobs.

Over time, the successful candidate will build a strong understanding of facilities operations, building maintenance, compliance processes, and operational coordination, providing a solid foundation for continued development within the Facilities Management industry.

Key Responsibilities

Quotation & Works Administration

  • Assisting with the preparation of quotations for reactive maintenance and minor works
  • Reviewing engineer reports and translating findings into clear scopes of work
  • Maintaining and updating the WIP (Work In Progress) tracker to monitor job progress
  • Ensuring approved works are raised, scheduled, completed and invoiced correctly

Financial Administration

  • Raising purchase orders for subcontractors, materials and plant hire
  • Tracking job costs against approved works
  • Preparing completed jobs for billing and submission to the finance team
  • Ensuring correct job codes, client references and documentation are recorded.

Scheduling & Operations Support

  • Scheduling and coordinating a small fleet of engineers
  • Planning works based on priority, location and access requirements
  • Raising material orders for works and coordinating deliveries to site
  • Monitoring job progress and ensuring updates are logged in internal systems.

Client & Service Desk Support

  • Managing the service desk inbox and allocating jobs appropriately.
  • Liaising with clients via phone and email to provide updates and resolve queries
  • Ensuring requests are logged and responded to in a professional and timely manner
  • Maintaining strong relationships with clients and suppliers.

Compliance & Documentation

  • Supporting with documentation related to health & safety, RAMS and compliance works
  • Ensuring job records and reports are accurate and well documented
  • Assisting with general contract administration

Skills & Experience

Essential:

  • Strong written and verbal communication skills
  • Professional telephone manner
  • Excellent organisational skills and attention to detail
  • Confident using Microsoft 365 (Excel, Outlook, Word)
  • Ability to manage multiple tasks and prioritise workloads
  • Strong customer service mindset

Desirable:

  • Experience in Facilities Management, Maintenance or Construction administration
  • Experience managing work orders, purchase orders or service desk systems
  • Basic understanding of building maintenance or compliance works
