Full job description
Murrayfield Medical Centre is looking for an Assistant Practice Manager to support our growing team.
This is an excellent opportunity for someone with healthcare leadership experience who is looking to develop their skills within a supportive and forward-thinking primary care environment.
Who are we?
We are a Vision practice located in the beautiful suburban area of Murrayfield in west Edinburgh, with a list size of over 7,800 patients. We care for a diverse population within the catchment area.
Our team includes 4 GP Partners, 4 salaried GPs, 2 practice nurses, a phlebotomist, a pharmacist and a mental health nurse and is complemented by an experienced and highly supportive administration team. We also host medical students on placement.
What are we looking for?
The successful applicant would be available to work approx 25-28hrs Monday - Friday (starting 07.30). Experience in a medical practice or similar environment is preferred but not essential. Salary – dependent on experience.
Duties involve operational support to the practice manager, including but not limited to supporting staff, resolving patient queries, premises support and ad hoc project work.
Key Responsibilities
- Support the Practice Manager with the daily management of practice operations.
- Assist in the management and supervision of administrative and reception teams.
- Help ensure delivery of excellent patient services and patient experience.
- Support recruitment, induction, training, and development of staff.
- Monitor and improve administrative systems and processes.
- Assist with complaint handling and patient feedback management.
- Maintain compliance with information governance requirements and practice policies.
- Assist with workforce planning, rota management, and staff wellbeing initiatives.
- Support the implementation of service improvements and change management projects.
- Produce reports and analyse practice performance data when required.
- Deputise for the Practice Manager in their absence.
Essential Skills and Experience
- Healthcare or similar experience.
- Excellent organisational and time management skills.
- Strong leadership and people management abilities.
- Proven ability to manage multiple priorities and work under pressure.
- Excellent communication and interpersonal skills.
- High level of IT literacy, including Microsoft Office applications.
- Understanding of confidentiality, information governance, and GDPR requirements.
- Ability to work independently and use initiative.
- Experience of developing and improving administrative systems and processes.
Desirable Skills and Experience
- Previous supervisory or management experience.
- Knowledge of the GP primary care environment.
- Experience of HR processes and staff management.
- Experience using clinical systems such as Vision and Docman.
