Job Summary

Fixed Term/Secondment (12 months)

Genomics

Band 4, 37.5hours per week, full time

Please Note for Internal Candidates (Secondment Pathway): If you are applying for this vacancy as a secondment opportunity, you must discuss your interest with your current line manager and obtain their formal support/approval before submitting your application.

Are you a highly organized administrator with a passion for leadership and operational excellence? We are seeking a dynamic and motivated individual to join our Genetics Laboratory as a Departmental Personal Assistant/Admin Team Management Support

This is a key hybrid role within our busy service. Alongside providing high-level PA support to the department's senior leadership and wider lab, you will play a vital, hands-on role in the daily function of our administrative team. This includes holding direct line management responsibility for our Band 2 and Band 3 administrative staff, ensuring a supportive environment and smooth daily workflows.

Key Responsibilities

  • PA Support: Manage complex diaries, correspondence, and administrative support for departmental leadership.

  • Line Management: Provide leadership, guidance, and direct line management (including appraisals, 1-to-1s, and workload management) for Band 2 and Band 3 administrative team members.

  • Collaborative Leadership: Work closely alongside the Admin Team Manager to ensure cohesive, efficient team operations.

  • Delegated Duties: Support the Patient Services Coordinator (PSC) by taking on delegated operational tasks and projects to help drive the service forward.

  • Team Function: Act as a central link between departmental management and the frontline clerical team, maintaining high standards of service delivery.

About You

The successful candidate will have excellent communication skills, a proactive attitude, and previous experience in a supervisory or line-management role. You should be comfortable managing competing priorities and balancing sensitive PA duties with the active, day-to-day coordination of a busy administrative team.

Why you should join our Team

In response to NHS England’s recent Strategy and Service Specification for the future of Genomics services in England, Newcastle Teaching Hospitals, Leeds Teaching Hospitals, Sheffield Children’s Trust and Sheffield Teaching Hospitals have formed the North East and Yorkshire Genomics Laboratory Hub; an exciting collaboration to provide services for Genomics across Yorkshire and Humber and the North. The combined size of our geography makes this the largest collaboration in the country with the Trusts offering a range of both general and specialist hospital services with excellent clinical outcomes for patients. We have an international reputation for excellence in specialist care, research and academic training.

The successful candidate will need to work in a fast-paced environment, completing work at short notice and to tight deadlines. The post holder must have a good standard of basic education including written and spoken English. The successful candidate will need to have a good telephone manner and basic computer literacy. Previous experience of working in a hospital environment or busy customer focused department would be an advantage but is not essential, as full training will be provided.

The post holder will be required to work 37.5 hours per week full-time and contribute to out-of-hours rotas including weekends and bank holidays as required.

As an employer, Leeds Teaching Hospital NHS Trust offers:

  • New NHS pay scales from 2026/27.
  • 27 days’ annual leave (rising to 29 days after five years and 33 days after 10 years’ service) plus bank holidays and the option to buy additional days.
  • Optional defined benefit pension, with generous 20.6% employer contribution
  • Opportunity for paid study leave (up to 5 days per year)
  • Flexible working practices · Supportive benefits throughout changing life circumstances, including up to 1-year parental leave, onsite nurseries, career breaks and flexible options for carers.
  • Access to health and wellbeing resources and retail discount

This post provides the opportunity to join a collaboration at the forefront of transforming and shaping genomics services for the future. If you like what you have read and would like to join us on our exciting journey, then we welcome your interest and application.

We welcome applications from candidates who have the relevant skills and experience to succeed. For further enquiries, please contact Bilal Khan, Patient Services Coordinator via e-mail at m.khan112@nhs.net
