Full job description

Job Purpose

To provide a professional, efficient, and friendly administrative service to patients, clinicians, and colleagues, ensuring the smooth day-to-day running of the practice.

The post holder will support patient care by undertaking a range of administrative and reception duties while maintaining confidentiality and complying with practice policies and procedures.

Key Responsibilities

Patient Services

Greet patients and visitors in a professional and courteous manner.

Deal with patient enquiries both face-to-face and over the telephone.

Book, amend, and cancel appointments in accordance with practice procedures.

Assist patients with online services and NHS App enquiries where appropriate.

Signpost patients to the most appropriate service when required.

Administrative Duties

Process incoming and outgoing correspondence.

Scan and attach documents to patient records using DOCMAN.

Register new patients and process deductions.

Manage electronic tasks and workflow systems.

File, retrieve, and maintain patient records.

Process prescription requests in accordance with practice procedures.

Support clinicians with administrative tasks as requested.

Maintain accurate records and databases.

Clinical System Responsibilities

Use EMIS Web and other clinical systems appropriately.

Update patient demographic information accurately.

Ensure patient records are maintained in line with practice policies.

Follow all information governance and confidentiality requirements.

General Office Duties

Photocopying, scanning, emailing, and document management.

Support the smooth operation of reception and administration functions.

Participate in practice meetings and training sessions.

Communication

Communicate effectively with patients, colleagues, community services, hospitals, and other healthcare professionals.

Maintain a professional and positive attitude at all times.

Escalate concerns or incidents to management appropriately.

Pay: £12.71 per hour
