We are looking for a friendly, organised and customer-focused Receptionist to join our team at the University of Salford Health Centre.

This is an exciting opportunity to work in a busy, student-focused GP practice located on the University of Salford campus. As the first point of contact for our patients, you will play a key role in providing a welcoming, efficient and compassionate service to students accessing healthcare during their time at university.

About Us

The University of Salford Health Centre is a dedicated GP practice located on the University of Salford campus, providing NHS primary care services exclusively to students studying at the university.

We understand that moving away from home and balancing university life can be challenging, so we pride ourselves on offering accessible, supportive and high-quality healthcare in a welcoming environment. Our experienced multidisciplinary team works closely together to ensure every student receives professional, compassionate care tailored to their needs.

In addition to providing day-to-day healthcare services, we are actively involved in university life. Throughout the academic year, we attend student registration, enrolment and welcome events across campus, promoting our services and helping new students register with the practice. As a Receptionist, you will have the opportunity to represent the practice at these events, welcoming students and helping them access healthcare from the very beginning of their university journey.

As part of our team, you'll work alongside GPs, nurses, healthcare professionals and administrative staff who are committed to delivering an outstanding patient experience.

The Role

As a Receptionist, you will be the face and voice of the practice, providing exceptional customer service to students, visitors and healthcare professionals while ensuring the smooth day-to-day running of reception.

Key Responsibilities Patient Services

  • Welcome patients and visitors in a friendly, professional and compassionate manner.
  • Answer telephone calls promptly and deal with enquiries courteously, efficiently and confidentially.
  • Recognise when patients may be anxious or distressed and respond with empathy and sensitivity.
  • Book, amend and cancel appointments using EMIS, ensuring the appointment system is managed effectively.
  • Provide non-clinical information to patients, including appointment updates and practice services.
  • Register patients for online services, including Patient Access, and actively promote these services.
  • Arrange interpreter services for patients where required.
  • Respond to patient enquiries or direct them to the appropriate member of the clinical or administrative team.

Administrative Duties

  • Complete all EMIS tasks allocated to the reception team accurately and within agreed timescales.
  • Register new patients and maintain accurate electronic patient records.
  • Update patient details, including changes of address and contact information.
  • Process repeat prescription requests in accordance with practice policies and procedures.
  • Scan and electronically file documents using established workflows.
  • Manage incoming emails promptly and efficiently.
  • Undertake general administrative duties to support the smooth running of the practice.
  • Maintain accurate electronic records in accordance with practice procedures.

Practice Support

  • Develop and maintain a thorough knowledge of practice policies, procedures and protocols.
  • Develop a good working knowledge of the PATCHS online consultation platform and support patients in using the service.
  • Complete all mandatory training.
  • Maintain patient confidentiality and comply with GDPR, NHS information governance and practice policies.
  • Keep the reception area, waiting room, noticeboards, leaflet displays and your workstation clean, tidy and welcoming.
  • Ensure consulting rooms and reception areas are stocked with stationery and supplies.
  • Assist with maintaining the security of the practice, including opening and closing procedures where required.
  • Represent the practice at student registration, enrolment and promotional events throughout the academic year.
  • Work across both The University of Salford Health Centre and Langworthy Medical Practice as required to meet the needs of the service.
  • Undertake any other reasonable duties requested by the Practice Manager.

About You

We're looking for someone who is enthusiastic, approachable and passionate about delivering outstanding customer service.

Essential

  • Previous experience in a receptionist, customer service or administrative role.
  • Excellent communication and interpersonal skills.
  • Outstanding customer service skills with a caring and professional manner.
  • Strong organisational skills with excellent attention to detail.
  • Good IT skills and confidence using Microsoft Office and computer systems.
  • Ability to prioritise workload and remain calm in a busy environment.
  • Flexible, reliable and able to work as part of a team.
  • Commitment to maintaining confidentiality and professionalism at all times.
  • Flexibility to work shifts between 8:00am and 6:30pm, Monday to Friday, in accordance with the practice rota.

Desirable

  • Previous experience working within General Practice, the NHS or another healthcare setting.
  • Experience using EMIS Web.
  • Understanding of NHS Primary Care services.
