About the Role

We are looking for an organised, proactive, and highly motivated Private Secretary / Medical Reports Administrator to join our friendly and supportive team at Tulasi Medical Centre.

This is an excellent opportunity for someone with strong administrative skills and experience within a GP practice or healthcare environment. The successful candidate will be responsible for managing all aspects of the practice's private work, ensuring reports, medical records requests, and correspondence are processed efficiently, accurately, and confidentially.

Main Duties

The successful candidate will be responsible for:

  • Coordinating all private medical reports and private GP letters.
  • Processing Subject Access Requests (SARs).
  • Preparing and sending copies of medical records to patients, solicitors, insurers, and authorised organisations.
  • Managing insurance reports, including GP reports (IGPR), Army medicals, and other occupational health documentation.
  • Organising TfL medical appointments and associated paperwork.
  • Preparing invoices for private work and maintaining accurate records.
  • Managing consent forms, scanning and coding documentation onto patients' records.
  • Responding to email and telephone enquiries relating to private work.
  • Requesting archived paper medical records when required.
  • Sending clinic letters and maintaining accurate correspondence.
  • Coordinating Dr Sharma's private clinics, including appointment administration, patient communications, and preparation of clinic documentation.
  • Working closely with GPs, administrative staff, hospitals, solicitors, and external organisations to ensure work is completed within agreed timescales.

About You

We are looking for someone who has:

Essential

  • Previous experience working in a GP practice or healthcare administrative setting.
  • Excellent organisational and time management skills.
  • Strong attention to detail with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Good IT skills, including Microsoft Office and experience using clinical systems such as EMIS Web.
  • Knowledge of patient confidentiality, GDPR, and information governance.
  • A professional, flexible, and patient-focused approach.

Desirable

  • Experience processing Subject Access Requests (SARs).
  • Experience managing private medical reports and insurance documentation.
  • Knowledge of NHS records management.
  • Experience with invoicing and private healthcare administration.
  • Understanding of medical terminology.
