About the Role
We are looking for a highly organised and proactive Home Administrator to become the central hub of our nursing home. This is a varied and rewarding role that provides essential administrative, HR, staffing and operational support to ensure the smooth running of the home.
The successful candidate will be an excellent communicator with strong organisational skills, capable of managing multiple priorities while maintaining accuracy and professionalism.
Key Responsibilities
Staffing & Workforce Administration
- Support staffing coordination and allocations, with oversight from the Deputy Manager.
- Manage annual leave requests and maintain accurate leave records.
- Coordinate rota changes and maintain staffing systems, including CoolCare.
- Assist with payroll administration, wage queries and liaison with the finance team.
- Coordinate staff absences, sickness reporting and return-to-work processes.
- Participate in staff on-call and out-of-hours coordination as required.
- Maintain records relating to agency staffing usage.
HR & Recruitment
- Coordinate employee onboarding and offboarding processes.
- Maintain staff files, contracts and employment records.
- Manage recruitment administration, including arranging interviews and processing new starters.
- Monitor supervision and appraisal trackers, ensuring completion and compliance.
- Maintain DBS compliance records.
- Monitor mandatory training compliance and notify staff of expiring or overdue training requirements.
- Check and maintain records of NMC registrations and renewal dates.
Administrative Support
- Act as the first point of contact for visitors, families and external professionals.
- Meet and greet visitors in a professional and welcoming manner.
- Manage incoming telephone calls and enquiries.
- Handle incoming and outgoing post.
- Provide administrative support to the Home Management Team and Central Support Team.
- Coordinate resident appointments, transport arrangements and escort requirements.
- Maintain accurate records and support daily operational requirements of the home.
Compliance & Quality Assurance
- Monitor staff, resident and family meeting schedules, arranging bookings as required.
- Support fire safety compliance by maintaining and updating PEEPs (Personal Emergency Evacuation Plans).
- Ensure records, documentation and trackers are maintained accurately and in line with company policies and regulatory requirements.
About You
The ideal candidate will have:
Essential Skills & Experience
- Previous administration experience, ideally within a care, healthcare or regulated environment.
- Excellent organisational and time-management skills.
- Strong attention to detail and ability to manage confidential information.
- Professional and friendly communication skills.
- Ability to work independently and as part of a team.
- Experience coordinating multiple tasks and meeting deadlines.
IT Skills
The successful candidate must be proficient in:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
Experience using staffing, rota or care-management systems such as CoolCare would be advantageous.
Please note that the successful candidate will need to be able to travel to Hythe, Kent for approximately 1 week of training.
