Office & Operations Coordinator
Think Fire Defence Ltd
£25,000–£28,000 per year, depending on experience
Full-time, permanent | Office-based, Essex
A well organised day starts with someone who makes it happen.
A resident needs an appointment. A site team needs tomorrow’s schedule. A client is waiting for an update.
You’re the person who brings it together: clear communication, accurate information and a plan everyone can follow.
Think Fire Defence is growing, and we’re looking for an organised, proactive Office & Operations Coordinator to help keep our projects moving and our clients informed.
If you enjoy taking ownership, building relationships and seeing the results of your work, this is an opportunity to become a valued part of our team.
About Think Fire Defence
We’re an Essex based specialist fire protection company delivering fire stopping, fire door installations and maintenance, surveys and wider fire safety services across London and nationwide.
Our work helps protect people and the buildings they live and work in. Delivering it well depends on good organisation behind the scenes: appointments booked properly, information recorded accurately and commitments followed through.
As we grow, we want someone who will take pride in that work and contribute ideas about how we can do it better.
The opportunity
You’ll work closely with our office team, managers and site operatives, helping coordinate work from the initial instruction through to completion.
You’ll build relationships with clients, help residents understand their appointments and make sure our teams have the information they need.
This role will suit someone who enjoys variety, spots what needs attention and follows things through.
What you’ll be doing
- Coordinating appointments and schedules: booking surveys and works, confirming access and keeping diaries up to date.
- Keeping people informed: communicating with clients, residents, operatives and subcontractors by phone and email.
- Setting jobs up accurately: recording instructions, purchase orders, site details and relevant documents.
- Following work through: tracking progress, chasing missing information and highlighting delays or access issues.
- Supporting project administration: organising reports, photographs, completion documents and certification records for review and issue.
- Helping with purchasing and invoicing: supporting material orders and keeping the information needed for invoicing accurate.
- Maintaining reliable records: updating spreadsheets and internal systems so the team can see what is happening.
- Improving how we work: suggesting practical ways to make bookings, communication and administration run more smoothly.
What we’re looking for
You’ll bring experience in administration, scheduling, customer service or operations support, alongside a clear, professional communication style.
You should be:
- Organised and comfortable managing several priorities.
- Confident speaking with clients and residents, including when arrangements change.
- Accurate with names, dates, job details and documents.
- Comfortable using Outlook, Word and Excel, and learning new systems.
- Willing to ask questions, flag problems early and follow up on outstanding actions.
- Someone who enjoys helping colleagues and takes responsibility for their own work.
Experience in construction, fire protection, property management, maintenance or facilities management would be useful, but sector experience is not essential.
Strong transferable skills and a practical approach will be valued.
Why join us?
- £25,000–£28,000 annual salary, depending on your experience.
- A permanent role with variety and meaningful responsibility.
- Direct involvement in projects from booking through to completion.
- Close working relationships with our management, office and site teams.
- The opportunity to contribute ideas and help improve our systems as the business grows.
- Exposure to project coordination, client relationships and operational delivery, helping you develop your experience.
Interested? We’d like to hear from you.
Apply with your CV and a short introduction telling us about your relevant experience and what appeals to you about the role.
Tell us about a time your organisation or initiative helped a team deliver a better result.
