About Us

We are a growing food brand based in London, passionate about great food, exceptional service, and authentic storytelling. As we expand our team, we are looking for a highly organised and creatively minded individual to join us as our Administrative Assistant & Marketing Coordinator – a dual-role position at the heart of our daily operations and brand presence.

The Role

This is not a typical desk job. You will split your time between ensuring our back-end operations run smoothly and bringing our brand to life across digital and physical touchpoints. You will work closely with the founding team, suppliers, and frontline staff, making a tangible impact on how we operate and how our guests perceive us.

Key responsibilities include:

Administrative & Operational Support

  • Managing daily office administration, including email correspondence, supplier communications, and record-keeping
  • Processing purchase orders, tracking inventory levels, and coordinating with logistics partners
  • Maintaining organised filing systems (digital and physical) and ensuring smooth internal workflows
  • Scheduling meetings, taking minutes, and following up on action points
  • Assisting with basic financial administration such as invoice processing and expense tracking

Marketing & Social Media

  • Planning and executing the content calendar for our social media channels, primarily Instagram and TikTok (xiaohongshu)
  • Creating engaging visual and written content – including photos, Reels, stories, and short-form copy
  • Monitoring and responding to social media engagement and enquiries
  • Assisting in the creation of marketing collateral (menus, flyers, email newsletters, promotional materials) using tools like Canva
  • Supporting the planning and on-the-ground execution of brand events, tastings, and pop-ups
  • Tracking basic performance metrics and providing monthly summary reports

Who We Are Looking For

Essential Requirements

  • 1–3 years of experience in an administrative, coordination, or office-based role (internships included)
  • Strong working knowledge of Microsoft Office (Excel, Word, PowerPoint) and Google Workspace
  • Excellent written and spoken English and Chinese – you are confident drafting professional emails and social posts
  • Highly organised, with the ability to prioritise multiple tasks in a fast-paced environment
  • A proactive, problem-solving mindset – you don't wait to be told what to do
  • Genuine interest in and enthusiasm for the food and hospitality industry

Desirable (but not essential)

  • Experience using Canva, Meta Business Suite, or basic photo/video editing tools
  • Familiarity with the London food scene or previous experience in a restaurant/café setting
  • Knowledge of AI tools (e.g. ChatGPT, Notion AI) to improve workflow efficiency
  • Basic understanding of email marketing platforms (e.g. Mailchimp)
