Loan Kit Coordinator | Theatre Department | Private Hospital 37.5hours per week | Excellent benefits | Worcester |

Spire South Bank Hospital have an exciting opportunity for an experienced and motivated Loan Kit Coordinator to join our dedicated Theatre Department team.

The role is required to oversee the end-to-end management of all loan kits that are required for procedures within the hospital environment. Loan kits play a critical role in providing prosthesis, instruments and consumables for theatre cases.

Duties and Responsibilities:

The Theatre Kit Coordinator will reconcile consignment and loan kits used onto SAP to enable patient charging, along with the logistics of the Loan Kits. It involves ensuring timely processing of the relevant documents in order to ensure payment to the vendors.

  • Accept delivery of loan equipment and record delivery information on arrival and departure, obtain signature from courier where possible.
  • Inform SSD of arrival of equipment, and work alongside to ensure everything requested has arrived.
  • Liaise with the Team Leaders (TL) /Company representative immediately if missing instruments or prosthesis are noted.
  • After the procedure, all used items are to be recorded and processed on a requisition form. Items used need to be added to the PO for charging purposes.
  • Prior to surgery raise PO via SAP and ensure that vendor is informed with relevant details for kit hire. All items used/wasted in surgery to be recorded on loan kit requisition form.
  • Check the theatre bookings daily and liaise with theatres to obtain the information to ensure that all loan kits and prosthesis required for surgery have been requested for upcoming procedures in time.
  • To maintain all prosthesis consignments, ensure restock has been ordered after use, liaise with the stores team and company representative around sale or return use items, alert team leaders of back order items in a timely manner to ensure suitable prosthesis can be sourced in time for surgical cases.
  • To run P2P stock take for the department at the required times throughout the year.

Who we're looking for:

  • Experience of planning work and acting under own initiative
  • Patient/customer facing experience
  • Proven experience within an administrative and/or customer service environment
  • An accurate approach when working to strict deadlines and confidence when delivering information to key personnel.
  • Excellent communication skills, both written and verbal
  • An ability to build relationships with suppliers
  • Proficiency in Microsoft Office, particularly Word, Outlook and Excel
  • Enthusiastic, self-motivated, able to prioritise and work accurately under pressure with sound numerical and analytical ability and attention to detail
  • Good organisational skills and time management

Contract: Full Time – 37.5 hours per week
