Job Overview

We are seeking a highly organised, discreet and detail-oriented individual to join our friendly team as a part-time, office-based Estate Assistant to work for the Estate Manager on a traditional country estate. This is a confidential role requiring sound judgement, discretion and the ability to handle sensitive information appropriately. The post holder will provide administrative and HR/training support, working directly with both the Estate Manager and wider office team. The ideal candidate should possess excellent communication skills, be proficient in various software applications, have a strong ability to multitask, be confident working on their own initiative and be comfortable taking responsibility for HR-related administration, including staff and management training.

Responsibilities

Managing and keeping confidential HR records up to date and ensuring the organisation is compliant with current legislation

Taking responsibility for arranging staff and management training, including identifying requirements, booking courses, maintaining accurate training records and monitoring renewal dates

Ensuring that all administration regarding Health and Safety is kept up to date

Diary management and scheduling meetings for the Estate Manager

Filing, admin and letter writing on behalf of the Estate Manager

Working with other team members to ensure that office supplies/franking machine are in order

Assisting with management of the estate vehicle fleet

Collating invoices to be authorised

Placing orders on behalf of department heads once authorised by the Estate Manager

Perform general office duties including mail handling, supply management, and assisting with special projects as needed.

Answering the phone in a professional and courteous manner and directing calls as appropriate

Greeting guests and ensuring they are looked after

Previous Experience

The ideal candidate will have previous experience in office administration, coordinating senior managers’ diaries and correspondence, and maintaining accurate HR, training and compliance records. They should be highly organised, detail-oriented and capable of managing multiple priorities while working independently and exercising sound judgement when handling confidential information.

Essential skills include excellent written and verbal communication, strong IT proficiency in Microsoft Office applications, effective record-keeping and document management, and the ability to coordinate staff training, health and safety administration and general office operations. The successful candidate will be professional, proactive, trustworthy and adaptable, with the confidence to take ownership of tasks and work collaboratively within a small team.

Pay: £18,500.00-£24,000.00 per year
