The Role

We are seeking a friendly, organised, and proactive Dental Receptionist/Administrator to join our Edinburgh practice on a fixed-term maternity cover contract.

This role is central to the smooth day-to-day running of the practice, providing a professional and welcoming front-of-house service while supporting essential administrative and compliance processes.

The successful candidate will play a key role in patient care, appointment management, and practice administration, ensuring a high standard of service and accurate record keeping at all times.

Responsibilities

Reception & Patient Services

  • Provide a warm, professional welcome to patients, both in person and over the phone.
  • Manage appointment bookings, cancellations, and recalls efficiently using the practice management system.
  • Handle patient enquiries with sensitivity and professionalism.Process patient payments, issue receipts, and manage end-of-day cashing up procedures.

Administrative & Practice Support

  • Maintain accurate and up-to-date patient records in line with GDPR requirements.
  • Support clinicians and the wider practice team with day-to-day administrative tasks.
  • Manage correspondence, emails, and documentation relating to patient care and practice operations.
  • Assist with stock ordering and general office organisation as required.

Compliance & Records

  • Ensure patient documentation is complete and correctly filed.
  • Support compliance with regulatory and data protection standards.
  • Assist with monitoring key administrative requirements and practice procedures.

Requirements

Essential

  • Previous experience in a receptionist or administrative role.
  • Excellent communication and customer service skills.
  • Strong organisational skills with good attention to detail.
  • Confident IT skills and ability to learn practice management systems.

Desirable

  • Previous experience in a dental or healthcare setting.
  • Knowledge of dental software systems.
  • Understanding of patient confidentiality and GDPR principles.
