Reception Manager – Veterinary PracticeOverview

We are seeking a highly capable, resilient, and professional Reception Manager to lead our front-of-house function in a fast-paced veterinary practice with exceptionally high standards.

This is a demanding and hands-on leadership role, requiring someone who thrives under pressure, maintains composure in challenging situations, and consistently delivers outstanding client care while driving performance from the reception team.

You will be responsible for ensuring the reception operates with efficiency, precision, and professionalism at all times, setting the tone for the entire client experience.

Key ResponsibilitiesLeadership & Front-of-House Management

  • Take full responsibility for the daily performance and organisation of the reception team
  • Lead from the front, maintaining visibility, control, and presence during busy periods
  • Ensure consistently high standards of professionalism, efficiency, and client care
  • Proactively manage workflow, staffing, and priorities in a high-pressure environment
  • Address performance issues promptly and constructively

Client Experience & Standards

  • Deliver and uphold an exceptional client journey at every touchpoint
  • Manage complex, sensitive, or escalated client situations with confidence and authority
  • Ensure all communication—face-to-face, phone, and written—is clear, professional, and empathetic

Operational Excellence

  • Oversee appointment scheduling and diary management to maximise efficiency and clinical flow
  • Ensure strict adherence to reception protocols, processes, and compliance requirements

  • Identify inefficiencies and implement improvements to systems and workflows

Team Development & Accountability

  • Train, mentor, and develop reception team members to meet high performance expectations
  • Set clear standards and hold the team accountable for delivering them
  • Foster a professional, respectful, and performance-driven team culture
  • Work closely with vets, nurses, and management to ensure seamless communication and operations

Administration & Financial Responsibilities

  • Oversee accurate record keeping for clients and patients
  • Ensure billing, payments, and insurance processes are handled efficiently and correctly
  • Maintain attention to detail across all administrative and operational tasks

Desirable Experience

  • Previous experience in a management or supervisory role (strongly preferred)
  • Veterinary practice experience
  • Experience in healthcare, dental, GP surgery, or high-end hospitality environments
