IFA Administrator

Are you an exceptional IFA Administrator looking for a new challenge in a fully remote role?

The IFA PA is a well-known specialist provider of virtual administration services to Independent Financial Advisers and their teams.

We are looking for highly knowledgeable and experienced IFA Administrators with amazing PA skills to join our growing team to help deliver our business goals and targets.

The successful candidates will be responsible for supporting a number of Financial Adviser clients across a variety of different back-office systems and platforms. This means that you will have the technical ability to manage multiple Financial Services back-office systems, with Intelligent Office being the key system, will have at least three years’ experience of providing PA and admin support within a Financial Planning Practice, including providing Mortgage and Protection Admin support, and you will have a clear understanding of the different products and processes involved.

The role requires exceptional levels of communication to ensure momentum on key tasks so regular discussions will be required. You will be aligned with our company values and will also be friendly, charming, pro-active, conscientious and have the ability to build a great rapport with clients and other team members.

You will also have an ambition for upskilling, learning new systems and will be eager to accept training where needed as your career with The IFA PA grows.

The Successful Applicant

Key skills and experience

  • Minimum 3-years’ experience of supporting Independent Financial Advisers
  • Mortgage and Protection Administration experience
  • Technical knowledge of pensions and investments administration
  • Some knowledge or experience of supporting DFM's
  • Experience of using Adviser back-office systems such as Intelligent Office, True Potential, Enable or Xplan
  • Experience of navigating Provider platforms
  • Knowledge of software such as Select-a-pensions, FE Analytics, Cashcalc would be advantageous but not essential as training can be provided
  • Possess a strong eye for detail and able to accurately record information
  • Strong time management and prioritisation skills
  • Excellent organisational skills with the ability to manage increasing workloads
  • Ability to work remotely and with limited supervision.
  • Hard working and enthusiastic.
  • Excellent IT skills and proficient in using Microsoft Office Outlook, Word & Excel
  • Excellent communication skills and a professional telephone manner.
  • Ability to work under pressure.

Responsibilities

  • Supporting IFAs and their Paraplanners with financial planning administration
  • Supporting Mortgage and Protection Advisers with business submissions
  • Manage and maintain client records within financial services systems.
  • Communicate effectively with IFAs to address enquiries and provide excellent customer service.
  • Ensure timely completion of administrative tasks while maintaining high organisational standards.
  • Engage, support and share knowledge with other team members
  • Work towards set goals and targets
