JOB DESCRIPTION

Executive Assistant to the Chief Executive Officer (CEO)

Salary: £22,000 per annum 30 hour week
Location: Remote / Hertfordshire (with occasional travel as required)
Reports to: Chief Executive Officer

Job Purpose

To provide proactive, professional, and confidential administrative and organisational support to the Chief Executive Officer. The role will ensure the smooth running of the CEO’s office through effective diary and inbox management, meeting coordination, travel planning, communication support, and administrative assistance with business development activities.

This role is suited to an experienced Executive Assistant, Personal Assistant, or Senior Administrator looking to develop their career while supporting the CEO of a growing organisation specialising in addiction treatment and mental health services.

Key Responsibilities

  • Provide proactive administrative and organisational support to the CEO.
  • Manage the CEO’s diary, coordinating meetings, appointments, and UK/international travel arrangements.
  • Organise and maintain the CEO’s inbox, prioritising correspondence and filing emails appropriately.
  • Prepare meeting agendas, documentation, and supporting information.
  • Complete post-meeting administration, including follow-up calls, correspondence, and monitoring agreed actions.
  • Provide administrative support for business development activities, including meeting coordination and client communications.
  • Arrange travel itineraries, accommodation, and logistics for business trips and events.
  • Support the organisation of meetings, conferences, networking events, and Microsoft Teams meetings.
  • Draft professional letters, correspondence, reports, and business communications on behalf of the CEO.
  • Prepare presentations, briefing documents, and reports to a high professional standard.
  • Liaise professionally with medical professionals, clients, international partners, suppliers, and external stakeholders.
  • Process expenses, raise invoices, and maintain accurate administrative records.
  • Maintain confidentiality when handling sensitive client, business, and commercial information.
  • Provide general administrative support to ensure the efficient operation of the CEO’s office.
  • Undertake other reasonable duties appropriate to the role.

Person Specification

Essential Experience and Skills

  • 2–5 years’ experience working as an Executive Assistant, Personal Assistant, Senior Administrator, Office Manager, or similar role supporting a senior manager or director.
  • Excellent organisational and time-management skills with the ability to manage competing priorities.
  • Excellent English language skills, both written and oral, with the ability to produce high-quality professional correspondence, reports, and presentations.
  • Excellent communication and interpersonal skills, with confidence communicating with senior executives, clients, healthcare professionals, and external organisations.
  • Strong attention to detail and a professional approach.
  • Ability to work independently, use initiative, and anticipate requirements.
  • Ability to maintain complete confidentiality and discretion.
  • Experience managing diaries, meetings, travel arrangements, correspondence, expenses, and administrative processes.
  • Advanced knowledge of Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Microsoft Teams.
  • GCSEs (or equivalent) in English and Mathematics.

Desirable Experience

  • Previous experience supporting a CEO, Managing Director, or senior leadership team.
  • Experience within healthcare, mental health, addiction services, social care, or another regulated environment.
  • Business Administration qualification or equivalent.
  • Experience supporting business development activities and maintaining professional relationships with clients and stakeholders.
