Job summary
Tribunal Administrative Officer
The Intellectual Property Office (IPO) is the official government body responsible for Intellectual Property (IP) rights in the United Kingdom. These rights include Trade Marks, Patents, Designs and Copyright. We promote innovation and are responsible for the granting of IP rights, which enables the economy and society to benefit from knowledge and ideas.
This is an exciting opportunity to be part of the Tribunal Hearings team or the Tribunal Support team to provide administrative support for Trademarks, Patents and Designs, as well as Company Names. This role is a busy, varied role and is pivotal in ensuring the successful running of the Tribunal service. You will have an opportunity to gain knowledge and experience in the duties across all IP rights and the wider Tribunal.
The successful candidate will provide essential support to all Hearing Officers and Tribunal Caseworkers across the directorate ensuring that trade mark proceedings, hearings and decisions are managed effectively and to a high standard.
This post is in a busy and key part of the IPO and the successful candidate will be part of a growing team that is regularly in contact with Hearing Officers, members of the legal profession and the public. The post will provide ample opportunity to show personal initiative as well as working as part of a team to achieve operational and customer service targets.
Working Style
The IPO operates a minimum expected office attendance of 20%. Therefore, we would encourage candidates to consider if the commute from home to the Newport office is a feasible distance to travel before making an application.
The requirement for attendance at an office location can vary by role so we would encourage candidates to discuss working arrangements with the recruiting manager to agree a reasonable balance between working from home and the office.
The IPO holds a visa sponsor licence however; this role is not eligible for sponsorship under the Skilled Worker route. Candidates will therefore need to have an existing right to work in the UK at the time of application.
Job description
Main duties consist of but are not limited to:
- The tagging and processing of administrative tasks on relevant cases.
- Preparation and arranging of cases and files for Hearing Officers and Caseworkers.
- Proactively manage and update relevant electronic records.
- The monitoring of mailboxes, actioning and distributing emails to correct areas of the Tribunal.
- Corresponding both orally and in writing with external and internal customers and legal professionals.
- Arrange and facilitate Hearings.

The assessment process will comprise of the following:
Stage 1 Pre sift testing The following pre sift test(s) will need to be completed and passed before your application will be seen by the panel:
- Civil Service Judgement Test
Applicants to note:
All listed behaviours will be assessed during the Civil Service Judgement Test.
There are no time limits for the completion of tests.
Please ensure you complete the test with enough time to fully complete and submit your application before the closing date.

Stage 2 Sift
An initial sift of applications will be carried out to create a shortlist. This will be based on the evidence provided for the following Success Profile elements:

Stage 3 Interviews

Specific information regarding the Success Profile elements that will be assessed at interview will be contained within the interview invitation.
Interviews for this role will be carried out in person at our Newport Office.
This recruitment campaign will keep a reserve list for 12 months. If you meet the requirements for this role but aren't offered after passing the interview, you'll be placed on the reserve list. If a suitable position opens up during this time, we will reach out to individuals in merit order.
The successful candidate would be expected to remain in the role for a minimum of 12 months before applying for another role.
