Admissions, Marketing and Development 

The Department is very much at the heart of Lancing activities; we are an energetic and forward-thinking team of talented individuals focused on contributing to the success of Lancing College. Across the team there is extensive engagement with both internal and external stakeholders.

Internally, key points of contact beyond the Admissions team are the Marketing and Development Teams, Facilities and members of the academic staff.  Whilst Admissions is a non-academic department, there are plentiful opportunities to interact with the student community, both current and incoming.

Externally, members of this team are frequently the first point of contact for visitors and guests, representing the College face to face, on the telephone or across social media. The wider Lancing community of OLs, current parents and parents of former pupils are extremely important to the College, and the Head Master’s Office team is a primary point of contact and information.

The Role

This is a largely administrative role, supporting the administrative needs of a busy department and ensuring that all administrative aspects are dealt with in a timely and efficient manner. The postholder will support the Admissions Managers and Director of Admissions in delivering an efficient and effective admissions service, to provide support for all duties and responsibilities related to the admissions office.

Job Title: Admissions Administrative Assistant

Reporting to: Admission Managers

Key Tasks and Responsibilities:

  • To create a positive impression to those seeking information on admission to the school.
  • To ensure that all information from initial enquiry is captured in a timely and accurate manner in the admissions database.
  • To support the Admissions Managers with:
  • Recording and processing of Applications
  • The production of offer letters
  • Assisting in preparing for events being arranged by the Admissions office through the practical co-ordination of events (e.g. liaison with the catering and facilities departments)
  • Assisting with responses to telephone enquiries and visit follow-up communications.
  • The follow up, communication and prompt database entry of families through different stages of the recruitment process.
  • Where necessary assist the Admissions and Database Officer.
  • Assisting in the preparation of material for and administration of entrance assessments, scholarships and additional tests.
  • To deal with other issues as determined by the Admissions Managers.

Skills and Experience:

Essential

  • Previous administrative experience, including the preparation of documents and correspondence and handling enquiries by telephone and email.
  • Experience of working with databases, ensuring accurate data entry and maintaining records.
  • Experience using customer relationship management (CRM) systems or similar databases, including producing personalised communications.
  • Excellent organisational and administrative skills.
  • Ability to prioritise workload effectively and meet deadlines while maintaining a high level of accuracy.
  • Excellent verbal and written communication skills.
  • Proficient in the use of Microsoft Office applications and database systems.
  • Ability to manage multiple tasks and respond effectively to enquiries in a busy environment.
  • Strong attention to detail and commitment to maintaining accurate records.
  • Ability to handle confidential and sensitive information appropriately.
  • Strong time management skills.
  • Ability to work independently and collaboratively as part of a team.
  • Ability to use initiative and take a proactive approach to work.

Desirable

  • Educated to degree level or equivalent experience.
  • Relevant training or certification in IT applications or software packages.
  • Experience of working within a school, educational setting, or knowledge of the education sector.
  • Experience of using mail merge or similar tools to produce personalised communications.
  • Experience of providing customer service to a diverse range of stakeholders.
  • Ability to work effectively in a fast-paced environment with competing priorities.
