Join Our Growing Team at Viking Extrusions Ltd!

We're looking for an organised, proactive and enthusiastic Executive Assistant to work closely alongside our Managing Director and become an integral part of our growing business.

This is far more than a traditional administrative role. We're looking for someone who enjoys taking ownership, thrives on organisation and genuinely enjoys helping things run smoothly behind the scenes. You'll quickly become a trusted right-hand person, helping manage day-to-day priorities so the business can continue to grow.

No two days are ever the same, so you'll need to be adaptable, able to think on your feet and happy to get stuck into a wide variety of tasks.

Key Responsibilities

Your responsibilities will include, but won't be limited to:

  • Managing the Director's diary and scheduling appointments.
  • Prioritising and tracking tasks using ClickUp (or similar project management software).
  • Handling incoming telephone calls and emails on behalf of the Director.
  • Organising meetings, preparing agendas and taking accurate meeting minutes.
  • Following up on outstanding actions to ensure projects stay on track.
  • Assisting with business correspondence and drafting professional communications.
  • Paying supplier invoices and assisting with day-to-day financial administration.
  • Collecting supplier invoices at month end and preparing documentation for our accounts team.
  • Assisting with stock takes and maintaining accurate records.
  • Supporting with general administration across the business.
  • Helping coordinate internal projects and ensuring deadlines are met.
  • Providing occasional support to other members of the management team when required.

We're looking for someone who is:

  • Exceptionally organised with excellent attention to detail.
  • Proactive and able to work using their own initiative.
  • Friendly, approachable and professional.
  • Confident communicating with customers, suppliers and colleagues.
  • Comfortable juggling multiple priorities.
  • Highly trustworthy and able to handle confidential information with discretion.
  • Competent using Microsoft Office and confident learning new software.
  • Previous experience as an Executive Assistant, Personal Assistant or in a senior administrative role would be advantageous, although attitude and organisation are just as important as experience.
