Project Manager

Location: Fully Remote (occasional travel to Sheffield HQ)

Type: Full-time

Reports to: Lead Project Manager

Who We Are

Pharmacy Mentor is a specialist digital agency focused entirely on helping independent pharmacies grow and modernise. We build websites, clinical service platforms, and digital tools for pharmacies across the UK, and we genuinely care about the impact our work has on the communities those pharmacies serve.

Our projects range from straightforward WooCommerce builds to complex, regulation-compliant clinical platforms. It is varied, meaningful work, and no two projects are quite the same.

The Role

We are growing, and we need a Project Manager who can take full ownership of their projects and see them through from the first discovery call to go-live. You will be the main point of contact for your clients, the person keeping the team on track, and the one making sure everything that goes out the door is something we are proud of.

This is a role with real autonomy. You will manage your own workload, build strong client relationships, and work closely with developers, QA, and content resources to deliver projects that meet the brief, timeline, and budget. What You Will Be Doing

Running projects end to end

  • Leading discovery and scoping calls with pharmacy clients to understand what they need and why
  • Keeping projects moving, on track, and within budget from kickoff to go-live
  • Writing user stories and acceptance criteria that developers can actually work from
  • Maintaining project documentation, including PIDs, RAID logs, and change requests
  • Spotting risks and blockers early and dealing with them before they become problems

Looking after your clients

  • Being the person your clients trust to keep them informed and to be straight with them
  • Setting realistic expectations from day one and managing them throughout
  • Giving clients meaningful updates, not just check-in emails
  • Handling tricky conversations calmly and coming to them with solutions
  • Running discovery and kickoff calls independently, from day one

Working with the team

  • Delegating work clearly to developers and other resources, making sure everyone knows what is expected
  • Running stand-ups that are focused and useful, not just a catch-up
  • Flagging blockers early so they can be resolved without derailing the project

Design and implementation

  • Using AI tools to create website designs and mockups for your projects
  • Taking clients through designs, gathering their feedback, and getting sign-off before development starts
  • Briefing developers on approved designs and making sure what gets built matches what was agreed

Quality and standards

  • Reviewing your own projects before they go anywhere near the client, checking content, layout, links, and functionality
  • Raising issues to developers clearly, with enough context for them to act on it quickly
  • Working with our QA team to coordinate testing and make sure sign-off happens before go-live
  • You are not the QA, but the quality of your projects is your responsibility
  • Making sure WooCommerce and site settings are configured correctly before anything goes to the client
  • Getting hands-on in WordPress where needed, whether that is checking settings, reviewing pages, or spotting configuration issues
  • Knowing the platform well enough to catch when something has not been set up right

What We Are Looking For

You will need

  • At least 3 years of project management experience, ideally in a digital agency or web environment
  • A project management qualification, such as PRINCE2, PMP, or APM, or solid hands-on experience that speaks for itself
  • Confidence in managing multiple projects at once without things falling through the cracks
  • A good working knowledge of WordPress and WooCommerce
  • Comfort using AI tools day to day, including for creating designs and mockups
  • A good eye for UI and UX, you notice when something looks or feels off
  • Strong communication skills, written and verbal, with clients and internally
  • Confidence running client-facing calls independently, including discovery and scoping sessions
  • Good organisational skills and the ability to manage your own time without being chased
  • Comfortable working fully remotely and staying on top of your workload without daily oversight
  • Experience writing clear project documentation
  • Experience using a project management tool such as ClickUp, Asana, or a similar one to manage and track projects

It would be a bonus if you have

  • Experience in pharmacy, healthcare, or another regulated industry
  • Some familiarity with GPhC standards or Distance Selling Pharmacy requirements
  • An enthusiasm for learning the pharmacy regulatory environment — we will support you in getting up to speed
  • An understanding of SEO as it relates to website building
  • Experience working with remote or offshore development teams
  • Familiarity with any pharmacy-specific platforms is a bonus
