Role Outline

The Project Manager – Scenic & AV Projects is responsible for the planning, quoting, and delivery of projects that combine scenic production with AV and LED technologies.

This role sits at the intersection of creative scenic fabrication and technical AV delivery, ensuring both elements integrate seamlessly across exhibitions, experiential activations, retail installations, and live productions.

The Project Manager works closely with designers, clients, fabricators, and technical teams to translate creative concepts into practical, buildable, and technically robust solutions. From concept through to installation, the role ensures projects are delivered safely, on time, and within budget.

This role is estimated to last from December 2026 - Late January 2027.

Key Responsibilities

Project & Commercial Management

• Produce detailed and commercially accurate quotes for AV installations, expo stands, and activations.
• Interpret client briefs and translate requirements into clear scopes of work.
• Manage projects from initial enquiry through design, costing, delivery, and final sign-off.
• Develop and control project budgets, ensuring profitability is maintained.
• Track project costs and manage variations effectively.
• Lead internal handover meetings between sales, technical, and delivery teams.
• Conduct risk assessments and create RAMS documents for each installation, to ensure we meet the expectation of venues and clients when executing events.

Technical Specification & Design

• Work alongside production teams to design and deliver exciting new designs.
• Work closely with the technical team to ensure system designs are practical, compliant, and achievable.
• Review or develop technical drawings including floor plans, cable plans, and equipment layouts.
• Ensure LED wall systems and scenic integration are correctly designed and costed.
• Identify technical risks early and propose solutions

Supplier & Production Management

• Source and manage external suppliers, subcontractors, and manufacturers.
• Oversee production of scenic and exhibition elements, ensuring quality and timelines are met.
• Coordinate fabrication partners, printers, carpenters, and installation crews.
• Manage procurement and sub-hire where required.
• Ensure production methods and materials are appropriate for the environment and use-case.

Financial Management

• Developing and controlling project budgets, tracking expenses, and identifying cost-saving opportunities.
• Manage and maintain event costs to keep jobs profitable.

Client & Stakeholder Management

• Act as the primary project contact for clients throughout delivery.
• Attend client meetings to understand requirements and provide technical guidance.
• Manage expectations around scope, budget, timelines, and feasibility.
• Conduct site visits to confirm logistical and environmental considerations.
• Ensure a professional, solutions-focused client experience.

On-site Execution

• Oversee installation schedules and coordinate teams on-site where required.
• Ensure projects are delivered safely, efficiently and to the agreed specification.
• Work collaboratively with technical teams to resolve challenges during install.
• Ensure all work meets required quality and safety standards.

Health & Safety

• Conduct risk assessments and develop RAMS documentation for installations and builds.
• Ensure all suppliers and subcontractors comply with health and safety regulations.
• Maintain safe working practices during build and installation phases.

Skills & Experience

Essential

• Proven project or production management experience within AV, expo or installations.
• Strong experience building detailed quotes for large-scale installations or scenic builds.
• Demonstrable knowledge of LED wall systems and associated infrastructure.
• Strong client management and communication skills.
• Experience managing external suppliers and subcontractors.
• Good understanding of production methods and materials (scenic, exhibition, fabrication).
• Commercial awareness and ability to manage budgets confidently.
• Ability to manage multiple projects simultaneously.

Desirable

• Formal training or education in live events, AV, manufacturing, 3D Design or a related technical discipline.
• Strong working knowledge of CAD and visualisation software (e.g. Capture, SketchUp, AutoCAD).
• Experience developing or reviewing technical drawings, system designs and wiring diagrams.
• Familiarity with project management and task-tracking tools (e.g. Asana, TeamTrack).
• Experience working with a wide range of venues, including corporate, conference, broadcast, and live event environments.
• Knowledge of current event technologies and emerging industry trends.

This role provides the opportunity to manage a wide range of technically and creatively challenging projects including exhibitions, installations, experiential activations, and live productions.

Successful candidates may progress into senior production management roles, leading larger projects and contributing to operational strategy and company growth.
