Full job description

Shakib & Co Family Office is seeking an experienced estate manger. In this senior appointment we are looking for a mature, hardworking professional to join our small and trusted senior team. The appointee is expected to contribute to the long-term investment strategy, protect assets, structure investments, handle succession planning, navigate complex tax issues as well as providing a day-to-day operational advice.

The head office is based in Hampstead London NW3. The activities of this office includes residential and commercial property investment, healthcare operations, (Akessa Healthcare Group). The company was established in 1994 and has continued to grow at a steady and prudent manner. The name is a Trusted brand in high-end residential rental market in Hampstead and Marylebone area.

For this hand on role the Estate Manager is required to work in a Family Office Located in Hampstead, managing a portfolio of predominantly residential properties based in NW3 and W1.

The applicant is expected to head and manage the existing team of administrators and maintenance officers, and liaise with the accounts manager. The job requires hands-on management, with frequent site visits. The role is to ensure that the portfolio is maintained at the highest standard of upkeep, minimise void periods and avoid rent arrears. The family are keen to expand their commercial activity and the applicant is expected to assist in identification of potential acquisitions

The successful applicant will be reporting directly to the head of the family in UK. The candidate will be expected to provide accurate reports.

For this role, all applications are reviewed by the Charmian and treated with strict confidence.

Essential requirements:

  • Qualified surveyor or equivalent (ideally MRICS). AssocRICS or IRPM Part1/FOPP Technical Award examinations as a minimum.
  • Proven property management experience .
  • A record of improving business performance through developing and maintaining high quality customer relationships.
  • Have excellent communication skills to deal with high networth tenants, professional advisors, contractors and other company representatives.

Key Responsibilities:

  • Manage day-to-day customer relationships
  • Prepare and maintain an operational improvement plan for each building in the portfolio.
  • Ensure that sustainability and environmental improvements are promoted and implemented wherever possible with the agreement of the lessees/occupiers.
  • Ensure customer and property data is kept up to date at all times.
  • Work with maintenance team to ensure consistency and to identify opportunities for improvement.
  • Ensure that planned and reactive maintenance is carried out to the required standard.
  • The management of rent arrears.
  • Conduct routine property inspections, and manage any concerns with the cleanliness, maintenance and security of common parts.
  • Ensure all operating manuals for buildings and units produced by the are valid and current.
  • Work proactively with approved contractors, giving feedback on performance, costs and reaction times etc.
  • Comply with all health and safety legislation policies at all times and the maintenance of the data recording this compliance.
  • Work with insurance brokers and insurance companies to manage both risks and claims.
  • Lead and manage risk management
  • Working with our financial manager to manage and report on profit and loss for allocated patch.
  • Work with building control and fire safety consultants to ensure compliance in all properties

The position is a full time. Out of hours and weekend work will be expected in an emergency.
