Clinic Manager – Private Healthcare

Edinburgh City Centre | Salary Competitive | Full Time, Permanent

We are recruiting for an experienced Clinic Manager to join a well-established private healthcare clinic based in the heart of Edinburgh, approximately 10 minutes’ walk from Waverley Station.

This is an excellent opportunity for an experienced healthcare or practice manager who enjoys taking ownership of the day-to-day running of a busy clinical environment and delivering a high standard of service to both patients and clinicians.

The role

Working closely with three Consultant Psychiatrists and managing two administrative team members, you will take overall responsibility for the smooth operational and administrative running of the clinic.

Key responsibilities will include:

  • Managing the day-to-day operations of the clinic, ensuring an efficient and professional service
  • Leading, supporting and developing two administrative staff, including rotas, workload and performance
  • Coordinating clinics, appointments and diaries for three Consultant Psychiatrists
  • Ensuring a consistently high standard of patient care, service and confidentiality
  • Overseeing patient referrals, appointments, medical correspondence and documentation
  • Managing billing, invoicing, payment collection and associated financial administration
  • Maintaining accurate electronic patient records and ensuring GDPR compliance
  • Reviewing clinic processes and implementing improvements to systems and workflows
  • Managing suppliers, contractors, premises requirements and office equipment
  • Supporting compliance across Health & Safety, Infection Control, Safeguarding and Information Governance
  • Acting as the first point of contact for operational issues and resolving problems effectively
  • Managing patient concerns or complaints sensitively and professionally
  • Supporting recruitment, induction and training of new team members
  • Developing and maintaining clinic policies, procedures and operational protocols
  • Providing hands-on medical secretarial/administrative support when required

About you

We are particularly interested in speaking with candidates who have previous management experience within a private healthcare or clinical environment, for example:

  • Private hospitals or healthcare providers
  • Private medical clinics
  • Dental practices
  • Specialist healthcare practices
  • Other regulated, patient-focused clinical environments

You will ideally have experience managing the operational and administrative side of a healthcare setting, alongside strong people-management skills and an understanding of the importance of patient confidentiality, compliance and exceptional service.

You will be organised, approachable and confident managing multiple priorities, with the ability to work closely with senior clinicians while remaining hands-on when required.

Experience of medical administration, patient management systems and billing/invoicing would be particularly beneficial. Knowledge of WriteUpp would be advantageous but is not essential.

Hours & location

Monday–Friday, 9:00am–5:00pm

There will be occasional Saturday working on a rota basis, with a day off during the week when a Saturday is worked.

The clinic is based in Edinburgh city centre, approximately 10 minutes’ walk from Waverley Station.

Salary: Competitive depending on experience
