Our Bristol clinic is modern, purpose-built, fast-paced, and genuinely team-focused.

We're looking for a confident, organised, and proactive Patient Engagement & Dental Administrator to become a key part of our Bristol team.

This is not a traditional reception role.

Alongside supporting the day-to-day administration and operation of the clinic, you will play a key role in delivering local marketing initiatives, patient engagement activities, business development support, community outreach, and referral relationship management.

The Role

As the first point of contact for our patients, you'll play a vital role in creating a welcoming, professional, and highly organised clinic environment.

However, this role goes far beyond traditional reception and administration responsibilities.

You will actively support the growth of the Bristol clinic through local B2B and B2C marketing initiatives, community engagement activities, patient events, referral partner relationships, and business networking opportunities.

This is a varied and rewarding role combining:

Key Responsibilities

Reception & Patient Experience

  • Providing a warm and professional welcome to patients and visitors
  • Managing incoming calls, emails, and patient enquiries
  • Booking, amending, and coordinating appointments using Dentally
  • Supporting patients throughout their treatment journey
  • Processing patient payments
  • Maintaining a clean, organised, and welcoming reception environment
  • Delivering an exceptional patient experience at every stage of the patient journey

Marketing, Engagement & Business Development

A significant part of this role will focus on supporting the growth and visibility of the Bristol clinic.

Responsibilities include:

  • Supporting and delivering local B2C marketing campaigns
  • Supporting local B2B business development initiatives
  • Building relationships with local businesses, healthcare professionals, and referral partners
  • Assisting with patient engagement campaigns
  • Supporting social media and local marketing activity
  • Coordinating patient events, open evenings, educational events, and community engagement activities
  • Representing EvoDental at networking and promotional events where appropriate
  • Supporting local growth strategies alongside the Business Manager
  • Assisting with referral generation initiatives
  • Developing and maintaining relationships with local businesses and community organisations
  • Supporting patient communication activities linked to events and campaigns
  • Helping increase brand awareness across the Bristol area

Administration & Operational Support

  • Maintaining accurate patient records and documentation
  • Managing correspondence, scanning, filing, and clinic administration
  • Supporting hotel bookings and patient logistics where required
  • Assisting with stock ordering and office organisation
  • Supporting clinicians and the wider clinic team with administrative tasks
  • Assisting the Business Manager with operational and clinic growth projects
  • Ensuring administrative processes are completed accurately and efficiently

Compliance & Standards

  • Maintaining GDPR and patient confidentiality standards at all times
  • Supporting clinic compliance processes and operational procedures
  • Assisting with Health & Safety requirements within the reception environment
  • Supporting the Business Manager with day-to-day operational workflows

What We’re Looking For

Essential

  • Previous experience in an administration, reception, customer service, coordination, or patient-facing role
  • Exceptional communication and relationship-building skills
  • Strong organisational skills with excellent attention to detail
  • Confident IT skills and the ability to learn new systems quickly
  • Professional, reliable, and proactive approach
  • Ability to manage multiple priorities within a fast-paced environment
  • Positive, enthusiastic, and commercially aware mindset
  • Confidence engaging with patients, local businesses, and external stakeholders

Desirable

  • Previous dental or healthcare experience
  • Knowledge of Dentally or similar practice management software
  • Experience handling payments and managing appointment diaries
  • Experience supporting marketing campaigns, events, community engagement, or business development activities
  • Understanding of GDPR and patient confidentiality requirements
  • Experience working with referral partners, local businesses, or customer engagement initiatives
