TLMC Ltd is a Residential Property Management firm in the Super Prime & Prime markets in Central London & Surrey with in-house Housekeeping, Specialist Cleaning, Maintenance & Project Management teams. This role is in our Property Management department as a client facing Property Manager however there would be opportunities to learn about the other areas of the business.

Our teams offer our clients bespoke property management services to look after all aspects of private Home Management such as proactive maintenance, reactive maintenance, lifestyle services, project management, direct staff employment etc. and we see ourselves as our client's 'boots on the ground' for their London Homes. We have a hands-on, practical approach, with a strong focus on teamwork. Our team members are ambitious, have positive attitudes, and are excellent problem solvers.

Our Property Managers look after a portfolio of around 25 units each to be able to deliver our service effectively. It is a fast paced and dynamic environment which presents challenges and opportunities daily.

Candidates should have:

- Previous property management experience (min. 2 years).

- ARLA qualification or equivalent preferable.

- Project management experience preferable.

- A positive and proactive attitude.

- Strong organisation and prioritisation skills

- Previous experience in a client facing role.

Specific responsibilities:

Client relationship / Account management

  • Client relationship management of specific UHNW clients to undertake bespoke property management services. Including acting as point of contact/lead for other TLMC onsite team members, consisting of maintenance engineers, housekeepers, security personnel, plus remote/attending team of Property Managers
  • Further liaison and support to client’s personal staff when on site, or in preparation to the client’s stay
  • Primary responsibility for managing properties in line with TLMC’s Service Level Agreements, and using team resource and assistance to facilitate this as required
  • Preparation and presenting of status reporting to clients and holding weekly update meetings
  • Management of expenditure for the property, oversight of accounting and responding to client queries, providing supporting documentation as required
  • Responsible for supervision, day to day scheduling/tasking and assisting in training/development of Property Management Assistants

Reactive & cyclical works management

  • Management & implementation of annual PPM schedules
  • Prepare annual budgeting
  • Tender contractor service contracts/reactive works/cyclical works, providing considered recommendations to the client with detailed supporting documentation as required
  • Assess and report to client on recommendations for cost mitigation where possible
  • Project management (cyclical, remedial and ad hoc) of small works as required at the property supported by the wider TLMC team and resource
  • Supervise on site cyclical and reactive maintenance works, report back to clients, and manage the interaction/deployment of TLMC property managers as required
  • Liaise and manage relationships with existing external suppliers to ensure good standard of service is provided and that the clients are prioritised
  • Management and progression of insurance claims as required
  • Review of O&Ms as required, sourcing of materials, oversight of on-site stock management and procurement for the property as required
  • Responsible for access management to the properties and staffing for supervision
  • Undertaking in depth weekly and monthly inspections of the properties and their facilities with associated reporting

Homecoming preparations

  • Arrange and oversee preparations and thoroughly audit the house in preparation for client use and visits
  • Point of contact for client’s teams for issue resolution during client visits, supported by the wider TLMC team and out of hours security team
  • Assist any property related projects as required in advance of or during client visits (lifestyle requests) – for example, assistance with procurement and logistical arrangements for drivers/grocery deliveries/restaurant bookings/sports event tickets etc.

Administration

  • Record hourly charged service delivery to company systems
  • PPM service record keeping, future scheduling and property record documentation filing
  • Record management documentation and pertinent information onto the company systems
  • Utilise company systems to schedule workflow, resources and priorities as required
  • Support Directors of TLMC in the provision of overall management services to the client
  • Support Directors with preparing and presenting new business proposals as required to the client

This is a Full-time Permanent role with TLMC.

Salary: £35,000.00-£40,000.00 per year dependent on experience

Annual bonus scheme

Working Hours: 08:30 – 17:30 Mon-Friday
