About the role

In this role, you will be the face of our firm and the first point of contact for clients and visitors, ensuring a warm welcome and seamless service from start to finish. We believe that every interaction is an opportunity to make a difference and build meaningful relationships and this is your chance to be a key part of a dynamic, client-focused team.

It’s about:

  • Warm welcomes: be the first point of contact, welcoming clients, colleagues and visitors with a friendly and professional manner.
  • Client interaction: answer and transfer incoming phone calls and handle new business and client enquiries.
  • Meeting room management: oversee meeting room bookings using our online system, prepare rooms for meetings, manage refreshments and ensure front-of-house area is welcoming and well-maintained.
  • Client assistance: advise and assist with client enquiries, handle payments where necessary and manage collections and deliveries.
  • Safety first: take responsibility for First Aid and Fire Warden duties (full training will be provided), ensuring the safety and wellbeing of our team and visitors.

What you’ll need

We’re looking for:

  • Friendly and approachable: you have a naturally warm and welcoming manner that puts people at ease.
  • Client focused: you’re passionate about delivering a first-class front-of-house experience for clients and colleagues.
  • Positive and proactive: a can-do attitude and willingness to go above and beyond.
  • Empathy and emotional intelligence: you understand people’s needs and can handle situations with care and sensitivity.
  • Dependable and reliable: you can be counted on to manage responsibilities and contribute to the smooth running of the office.
  • Strong communication skills: both on the phone or in person, you have excellent communication skills and telephone etiquette.
  • Organised & efficient: ability to prioritise, multitask, and stay calm under pressure while maintaining attention to detail.
  • IT competent: comfortable using office software and systems to manage tasks efficiently.
  • Safety-minded: willing to complete First Aid training and undertake Fire Warden responsibilities.

Working Hours

Rotating weekly schedule

  • Week one – Monday to Friday, 8.45am to 1pm – 21.25 hours per week
  • Week two – Monday to Friday, 12.45pm to 5pm – 21.25 hours per week

There will also be a requirement to provide cover during periods of annual leave and unforeseen absences.
