Junior Project Co-ordinator

Company Description

Accent Services (AC) specialises in maintaining critical air conditioning and chiller equipment. We ensure our customers’ assets remain compliant and in optimum condition.

Accent Services operates from its Head Office in Shepperton, Surrey, with a separate regional office in Warmley. We employ more than 45 mobile engineers and 45 office-based associates.

Purpose of the Role

The Junior Project Co-ordinator will provide administrative and organisational support to the Contracts Department, helping to ensure projects are set up, recorded and managed accurately.

Working closely with Project Managers, Contracts Managers and the Associate Director, the role will support the day-to-day administration of projects from initial job set-up through to invoicing and completion.

This is an excellent opportunity for someone looking to develop a career within project co-ordination and contracts administration. Full training and support will be provided.

Key Responsibilities

  • Logging new jobs accurately onto the relevant systems.
  • Setting up new projects, contracts and associated records.
  • Supporting the processing, checking and recording of supplier invoices.
  • Taking accurate minutes during project and departmental meetings and circulating actions where required.
  • Handling project data accurately and in accordance with company procedures.
  • Preparing, updating and distributing project and departmental reports.
  • Supporting the preparation, submission and tracking of payment applications and associated reminders.
  • Reviewing outstanding purchase orders and raising any discrepancies or required actions with the relevant manager.
  • Providing general administrative support to Project Managers, Contracts Managers and the wider Contracts Department.
  • Organising delivery arrangements for materials, equipment and other project requirements.
  • Maintaining accurate electronic filing and document control.
  • Monitoring shared email inboxes and ensuring correspondence is recorded, stored and directed appropriately.
  • Supporting customer invoicing and maintaining accurate billing information.
  • Assisting with the tracking of project actions, deadlines and outstanding information.
  • Communicating with suppliers, customers and internal departments where required.

  • Previous experience in an administrative, co-ordination or office-based role would be beneficial.
  • Excellent verbal and written communication skills.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • Good attention to detail and a commitment to maintaining accurate records.
  • Confidence using Microsoft Office applications, including Outlook, Word and Excel.
  • Ability to work effectively within a busy and fast-paced environment.
  • A proactive attitude and willingness to learn.
  • Ability to work independently while also contributing positively as part of a team.
  • Professional and confident when communicating with colleagues, customers and suppliers.
  • Experience using construction or project management software, including Construct Cloud, would be beneficial but is not essential.

Development Opportunity

The successful candidate will receive training and support to develop their knowledge of project administration, purchasing, invoicing, payment applications and contract processes.

There may be opportunities for the role to develop further as the individual gains experience and demonstrates their ability to take on additional project co-ordination responsibilities.

Pay: From £30,000.00 per year
