Property Manager

About the Role

We are looking for an organised, proactive, and highly IT-literate individual to oversee the day-to-day maintenance and rental administration for our portfolio of residential properties.

This is a varied and fast-paced role that would suit someone with experience in property management, lettings, facilities management, or maintenance coordination. The successful candidate will act as the main point of contact for landlords, tenants, contractors, and tradespeople, ensuring properties are maintained efficiently and remain compliant with current regulations.

Key Responsibilities

Maintenance Management

  • Coordinate reactive and planned maintenance for commercial and residential properties
  • Liaise with landlords, tenants, contractors, and tradespeople
  • Obtain quotations and schedule works
  • Monitor progress of maintenance jobs through to completion
  • Keep accurate records of maintenance requests and completed works
  • Ensure contractors attend within agreed timescales

Rental & Lettings Administration

  • Organise tenant check-ins and check-outs
  • Carry out or coordinate inventories and property inspections
  • Manage tenancy-related administration
  • Maintain strong communication with tenants and landlords
  • Ensure all tenancy documentation is up to date
  • Manage tenancy deposit registrations and updates using deposit protection platforms

Compliance & Property Records

  • Maintain a compliance schedule for:
  • Gas Safety Certificates
  • EPCs
  • EICRs
  • Smoke & CO alarm checks
  • Arrange inspections and certificates with approved contractors
  • Keep digital records updated and ensure renewals are booked in advance
  • Use spreadsheets and property software to track compliance and maintenance schedules

The Ideal Candidate

  • Must have a least 5 years experience in property management, lettings or maintenance coordination.
  • Excellent IT and administrative skills
  • Strong working knowledge of:
  • Microsoft Excel
  • Microsoft Word
  • Email systems and digital record keeping
  • Tenancy deposit protection systems (such as MyDeposits, DPS, or TDS)
  • Ability to manage spreadsheets, logs, reports, and schedules accurately
  • Strong organisational skills with the ability to prioritise workloads
  • Excellent communication and customer service skills
  • Ability to work independently and problem solve
  • Full UK driving licence required

Desirable

  • Knowledge of UK property compliance requirements
  • Experience dealing with contractors and maintenance scheduling
  • Experience using property management software
  • ARLA or property-related qualifications beneficial but not essential
