Full job description

The London Management Company is a Super Prime Property Management company operating in Central London, the Home Counties and New York. The role of PA / Senior Property Manager (Super Prime) is a client-facing role in our Property Management department in London.

Our teams look after all aspects of private household management for our clients who are mostly UHNWI, such as proactive cyclical maintenance, reactive maintenance, housekeeping, concierge services, project management, household staff employment etc..

This position is reporting into the Head of Property Management. The role has some delegative responsibilities over the Property Management Assistant team, who will be specifically working with you to assist in fulfilling the requirements of your portfolio.

The below outlines the key roles and responsibilities, however the list is not exhaustive. It is the intention that the position of PA / Senior Property Manager (Super Prime) will form an integral part of the Management Team, with a scope of increased responsibilities assisting the wider development and growth of the company, and its reputation and profitability.

As a senior member of the team, you will be looking after a portfolio of c.5-10 clients.

Candidates should have:

- Previous property management experience (minimum 4 years).

- ARLA or equivalent qualification preferable.

- A positive and proactive attitude.

- Strong organisation & prioritisation skills, ability to work well to deadlines.

- Previous experience in a UHNW client facing role.

- Experience in Private Household or Family Office preferable.

Specific responsibilities:

Client relationship management

  • Primary responsibility as key account and lead relationship management for key assigned clients and their staff
  • Preparing and sending monthly status reporting to the client and holding weekly update meetings
  • Primary responsibility for managing property in line with TLMC’s Service Level Agreement, and using team resource and assistance to facilitate this as required
  • Leading TLMC service provisions; consisting of maintenance engineers, housekeepers, security personnel, plus remote/attending team of Property Managers in relation to the property
  • Line management, supervision and day to day scheduling/tasking of on-site maintenance engineer with associated reporting
  • Leading client communications on a 'response' basis on Saturday/Sunday in coordination with senior leadership and other weekend team members.

Reactive & cyclical works management

  • Management of implementation of PPM schedule for the property
  • Prepare annual budgeting for the property as required
  • Assess and report to client on recommendations for mitigation of costs where possible
  • Project management (cyclical, remedial and ad hoc) of works as required at the property supported by the wider TLMC team and resources
  • Supervise on site cyclical and reactive maintenance works, report back to client, and manage the interaction/deployment of TLMC property management team as required
  • Liaise and manage relationships with existing external suppliers to the house to ensure good standard of service is provided and that the client is prioritised
  • Prepare and assess contractor tenders (for service contracts/reactive works/cyclical works), providing considered recommendations to the client with detailed supporting documentation as required
  • Management and progression of insurance claims as required
  • Utilise technical knowledge to advise and undertake initial troubleshooting/assessment of reactive issues
  • Review of O&Ms as required, sourcing of materials, oversight of on-site stock management and procurement for the property as required
  • Responsible for access management to the house and staffing for supervision
  • Undertaking in-depth weekly and monthly inspections of the property and its facilities with associated reporting

Homecoming preparations

  • Arrange and oversee preparations and thoroughly audit the house in preparation for client use and visits
  • Point of contact for client team for issue resolution during client visits, supported by the wider TLMC team and security team.
  • Assist with any property related projects as required in advance of or during client visits (lifestyle requests) – example, assistance with organising newspaper/grocery deliveries.

Administration

  • Record hourly charged service delivery to company systems
  • PPM service record keeping, future scheduling and property record documentation filing
  • Record management documentation and pertinent information onto company systems
  • Utilise company systems to schedule workflow, resources and priorities as required
  • Support Directors of TLMC in the provision of overall management service to the client
  • Support Directors with preparing and presenting new business proposals as required to the client

DBS check will be required

4Y experience with UHNW / PA / PM roles
