We are looking for a Property Operations Manager who will sit at the centre of our day-to-day business: owning relationships with tenants, suppliers, councils etc., driving process efficiency, and ensuring financial disciplines across the portfolio are consistently upheld. This is a senior, hands-on role requiring both strategic thinking and the ability to execute with precision across a fast-moving, multi-site operation. You will have a direct Office Admin as your right hand in all activities and you will also manage the lettings, operational, maintenance and accounts teams at the Rainbow Properties.
Responsibilities
Tenant Management & Communication
- Manage the process for all tenants communication across the portfolio, managing queries, complaints, and relationship escalations professionally and promptly or setting the process to be followed by others.
- Making sure team maintains tenancy records, correspondence logs, and compliance documentation with high accuracy
- Coordinate best practice for tenant onboarding, referencing, check-ins, and check-outs in line with current legislative requirements
- Liaise with solicitors, managing agents, and lenders on tenancy matters where required
Financial operations
- Oversee credit control across all sites — monitoring rent arrears, issuing chasers, escalating to legal action where necessary, and maintaining accurate debtor records and using the Credit Control team member to fulfil
- Manage service charge budgeting, reconciliation, and tenant communication in line with lease terms
- Oversee business rates across the portfolio: relief applications, VOA appeals, empty property strategies, and ongoing liability tracking
- Manage utility accounts and supplier contracts, ensuring billing accuracy and cost efficiency – use Office Admin to organise and manage Utilities and set a process to make it smooth and efficient
- Maintain financial records using accounting software
Process & operations
- Identify and implement improvements to operational workflows across lettings, maintenance coordination, compliance, and reporting
- Develop and maintain standard operating procedures and internal documentation for all key processes
- Coordinate with contractors and maintenance teams, ensuring works are tracked, approved, and completed on time and within budget
- Support the rollout of property management technology and systems as the portfolio grows
Compliance & governance
- Ensure compliance with current landlord legislation including EPC requirements, Right to Rent, deposit protection, fire safety, and H&S obligations
- Monitor lease expiries, break clauses, rent reviews, and critical dates across the portfolio and communicate to relevant team members if any gaps detected
- Support directors with insurance renewals, statutory inspections, and risk management
Pay: Up to £65,000.00 per year
