JOB TITLE: RECEPTIONIST

REPORTS TO: RECEPTION MANAGER

We are seeking a friendly, organised individuals to join our team as Receptionists at our busy GP surgery in Dorking. This is an excellent opportunity for someone who enjoys working with the public and thrive in a fast-paced healthcare environment. The successful candidate will play a key role in supporting patients and ensuring the smooth running of our reception service.

Our practice operates across two reception areas within the surgery. Reception staff work flexibly across both areas, supporting different clinics and patient flows throughout the day. This helps ensure patients are assisted promptly and allows our team to work together to maintain an efficient and well-organised reception service.

Full training will be provided, and you will be supported by experienced colleagues as you become familiar with the different reception areas and daily processes.

KEY RESPONSIBILITIES

Reception duties

· Greeting patients and visitors in a friendly and professional manner.

· Answering telephone calls and responding to patient enquiries

· Booking, amending and cancelling appointments

· Processing prescription requests in line with practice procedures

· Registering new patients and updating patient records

· Managing incoming and outgoing correspondence

· Liaising with GPs, nurses and other members of the healthcare team

· Ensuring patient confidentiality is maintained at all times

WHAT WE ARE LOOKING FOR

· Excellent communication and interpersonal skills

· Friendly, patient-focused and approachable

· Good organisational and administrative skills

· Ability to multi-task and work well under pressure

· Strong IT skills and attention to detail

· Previous reception or customer service experience preferred

· Experience in a GP surgery or knowledge of systems such as SystemOne would be advantageous but not essential as training will be provided

HOURS :

There is one position available

1 x full-time basis, working the following required hours:

  • Monday – 7.45am to 6.30pm (10.25 hours)
  • Tuesday – 7.45am to 1.30pm (5.75hours)
  • Wednesday – 7.45am to 1.30pm (5.75 hours)
  • Thursday - 1pm to 6.30pm (5.5 hours)
  • Friday-7.45am to 6.30pm (10.25 hours)

Our reception team work a shift pattern to ensure the surgery is fully staffed during opening hours.

Typical shifts will include:

  • Morning shift: 7:45am – 1:30pm
  • Afternoon shift: 1:00pm – 6:30pm

Some flexibility to cover additional shifts for annual leave and sickness may occasionally be required.

Cover of Extended Access Clinics - evenings 6.30pm -8.30pm - maximum of twice a month, this will be paid at time and a half.

Starting salary is £12.71.

The post is subject to DBS, right to work and an occupation health check.

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, the practice Health & Safety Manual, and the practice Infection Control policy and published procedures. This will include:

Using personal security systems within the workplace according to Practice and Centre guidelines.

  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks.
  • Making effective use of training to update knowledge and skills.
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised.
  • Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role.
  • Reporting potential risks identified.
