Full job description

White House Dental has been at the heart of our community for over 50 years. We're a busy, ambitious practice offering high-quality dentistry including implants, Invisalign, and complex restorative treatments. We're now looking for a confident, driven Dental Patient Care Coordinator / Receptionist to join our team and play a pivotal role in our patients' journey from first enquiry through to completed treatment.

This isn't your average receptionist position. You'll be the commercial and caring heart of the front desk — managing high-value treatment plans, nurturing patient relationships, and actively driving the conversion of leads and overdue appointments into booked treatments. You'll work closely with our clinical team to ensure every patient feels informed, supported, and confident in their care decisions — whether they're considering Invisalign, implants, or a full smile makeover.

What You'll Be Doing

  • Managing and presenting large, complex treatment plans including implants and Invisalign
  • Acting as the dedicated point of contact for Invisalign leads, nurturing enquiries from initial interest through to booked consultation
  • Calling patients from recall and overdue appointment lists to rebook them in
  • Following up with patients after treatment and throughout their care journey
  • Supporting patients in understanding and committing to their treatment plans
  • Managing daily scheduling, patient records, and diary coordination
  • Processing payments, billing, and insurance enquiries
  • Handling all incoming calls and walk-ins as the first point of contact
  • Managing the practice's social media channels including Instagram, TikTok, and Facebook
  • General administrative tasks to keep the practice running smoothly

What We're Looking For

  • Experience in a dental or medical environment is strongly preferred, ideally in a treatment coordinator or patient-facing role
  • Confidence discussing high-value treatments — comfortable with numbers and presenting a compelling case for care
  • An excellent communicator who is warm, clear, and persuasive on the phone and in person
  • Highly organised with strong attention to detail and the ability to manage multiple priorities
  • A proactive, target-aware mindset — you understand that booked appointments and converted treatment plans matter
  • Comfortable with dental software (SOE Exact is a bonus) and social media platforms
  • Ambitious — you want to grow with a practice, not just fill a seat
