Receptionist / Administrative Support

About Us

We are a busy, friendly and growing orthodontic and dental practice providing high-quality NHS and private dental and orthodontic care.

Our team is committed to creating positive patient experiences and achieving excellent clinical outcomes within a welcoming and professional environment.

The Role

We are looking for a motivated, organised and patient-focused Receptionist / Administrative Support team member.

This is a busy and varied position combining reception and administrative responsibilities with patient engagement and practice-development support. The successful candidate should feel comfortable building rapport with patients, discussing the services available and supporting patients throughout their journey with the practice.

Key responsibilities will include:

  • Greeting patients and creating a warm, professional first impression
  • Managing telephone, email and face-to-face enquiries
  • Booking, rescheduling and confirming appointments
  • Supporting patients with forms, payments and general treatment enquiries
  • Building positive relationships with patients and helping them feel informed and supported
  • Responding to enquiries about private dental and orthodontic treatment
  • Explaining available treatment pathways, fees and finance options within the appropriate scope of the role
  • Following up private enquiries and supporting the practice with enquiry-to-consultation and treatment conversion
  • Accurately updating and maintaining patient records on the clinical system
  • Using Excel spreadsheets to organise, monitor and report practice information
  • Assisting with staff rotas and other administrative systems
  • Undertaking general duties including scanning, filing, correspondence and stock-ordering support
  • Supporting the practice’s social media activity, content creation and digital communications
  • Assisting with IT systems and helping the team make effective use of digital processes
  • Supporting the clinical and management teams with day-to-day tasks
  • Maintaining patient confidentiality and following practice policies and procedures

About You

We are looking for someone who is:

  • Friendly, approachable and committed to excellent patient care
  • Confident in building rapport and communicating with patients
  • Organised, efficient and attentive to detail
  • Comfortable managing several priorities within a busy environment
  • Confident discussing private services in a professional, informative and patient-centred manner
  • Competent in using computers, email and Microsoft Office, particularly Excel
  • Interested in social media, digital content and practice development
  • Proactive and willing to suggest ideas and improvements
  • A clear and professional communicator, both in person and over the telephone
  • Reliable, flexible and able to work effectively as part of a team

Previous experience within a dental or health care setting is essential.provided.

Working Hours

The practice is open:

  • Monday to Thursday: 8:00 am–8:00 pm
  • Friday: 8:30 am–4:30 pm

The successful candidate will be required to work at least one or two longer shifts during the week. The exact working pattern and contracted hours can be discussed further at interview.
