About MAX Automotive Group Ltd

Due to continued growth, MAX Automotive Group Ltd is looking for an experienced Automotive Service Advisor / Receptionist to join our team in Oldbury.

MAX Automotive Group Ltd is a growing multi-division automotive business providing maintenance, repair and engineering services across cars, vans, EV & hybrid vehicles, HGVs, trailers, plant and powered access equipment.

We are looking for someone who already understands how a busy automotive service reception operates and can confidently manage customers, bookings and workshop administration from day one.

This is not an entry-level position.

Applicants must have a proven track record working as a Service Advisor, Automotive Receptionist, Workshop Administrator or in a comparable customer-facing automotive role.

You must be able to demonstrate relevant experience at interview.

The Role

You will be one of the key links between our customers, technicians and workshop management team.

Your responsibilities will include:

  • Answering incoming calls and dealing with customer enquiries
  • Welcoming customers to the business
  • Booking vehicles into the workshop
  • Managing the workshop diary and customer appointments
  • Creating and maintaining accurate job cards
  • Understanding customers' vehicle concerns and recording them correctly
  • Preparing estimates and quotations
  • Contacting customers for repair authorisation
  • Keeping customers informed throughout the repair process
  • Liaising with technicians regarding diagnosis, repairs and additional work
  • Professionally advising customers of additional maintenance identified during inspections
  • Managing vehicle collection and handover
  • Processing invoices and taking payments
  • Dealing with fleet, account and third-party customers
  • Managing emails and online enquiries
  • Ordering/checking parts where required
  • Maintaining accurate digital customer and vehicle records
  • Handling customer concerns professionally
  • Supporting the Workshop Controller and management team
  • Helping ensure jobs progress through the workshop efficiently

Essential Experience

To be considered, you must have previous automotive experience and a proven track record within a busy service or workshop environment.

You should already be confident with:

  • Automotive terminology and common vehicle repairs
  • Service reception procedures
  • Workshop bookings and diary management
  • Job cards and workshop management systems
  • Producing estimates
  • Customer authorisation
  • Invoicing
  • Customer updates
  • Liaising with technicians
  • Managing multiple jobs simultaneously
  • Dealing with difficult conversations and customer complaints
  • Identifying and professionally presenting additional work
  • Working to deadlines in a fast-moving environment

Experience within an independent garage, main dealership, commercial vehicle workshop, fleet maintenance business or similar automotive operation would be particularly relevant.
