Executive Assistant

Hours: 37.5hrs 9am - 5pm

Role Overview
Pinc is committed to delivering transformative educational experiences for neurodivergent young people. This work is driven by an Executive Leadership Team that operates with dedication and care, with strategic focus, across a group of organisations with a national footprint. The Executive Assistant to the Executive Team is a newly created position that will provide essential administrative and strategic support to enable our group to operate at its highest level of effectiveness.
As the first post-holder in this role, the Executive Assistant will serve as the central coordination point across the Group’s senior leadership functions. This individual will not wait to be directed; they will anticipate requirements, resolve potential issues before they materialise and ensure that the right information reaches the right people at the right time. The role demands proactivity, professional judgement and meticulous attention to detail.
This position is well suited to an experienced administrator who has a through understanding of executive support at a senior level, who is at ease operating in a complex and dynamic organisational environment and who recognises that high quality support work is itself a form of strategic leadership.
Key responsibilities
Administrative and strategic support
- Provide comprehensive, proactive administrative support to the Executive Team, managing daily operations, protecting the availability of senior leaders and ensuring priorities are correctly ordered when competing priorities arise.
- Compile, interrogate and synthesise information from embedded organisational systems converting data into clearly structured and actionable outputs for executive and group use.
- Produce high quality materials to support strategic decision making, including agendas, reports, presentations and briefing papers that are fluent, well-structured and fit for purpose.
- Support the team with the drafting of internal communications, ensuring all materials are professionally presented, clearly articulated and appropriate to their intended audience.
- Maintain organisational systems and processes, ensuring administrative functions operate efficiently and with minimal disruption.

Planning and coordination
- Support strategic planning activities by tracking forthcoming commitments, identifying items at risk of delay and ensuring that decisions are made in advance of critical deadlines.
- Ensure all meetings are conducted effectively: distributing agendas and pre-reading materials in a timely manner, producing accurate and actionable minutes and following up on outstanding actions.
- Coordinate Executive visits, group events and cross-team projects with consistent care and precision, maintaining visibility of deadlines and ensuring clarity of priorities throughout.
- Identify and implement process improvements, workflow enhancements and communication strategies that increase organisational efficiency.
Stakeholder relationships and confidentiality
- Build and maintain trusted professional relationships with senior leaders across the Group and with key external stakeholders, underpinned by reliability, sound judgement and consistent follow-through.
- Provide anticipatory support to the Executive Team, proactively identifying needs and removing operational barriers that impede effective delivery.
- Handle all sensitive and confidential information with the highest standard of professionalism, emotional intelligence and absolute discretion at all times.

3+ years’ experience working as an Executive Assistant, Personal Assistant or senior administrator, ideally supporting C-suite or Director-level executives within a fast-paced organisation
Experience of working across multiple stakeholders or sites, ideally within a multi-entity group or education structure
A demonstrable track record of managing competing priorities to a high standard without compromising quality or deadlines
Extensive experience building and sustaining strong, constructive professional relationships across diverse stakeholder groups
Desirable
Experience of working within SEND education settings
