Role summary

The Head of Cleaning, Grounds and Gardens, reporting directly to the General Manager, is responsible for the overall aesthetic and experience of the Studio site and its internal spaces, with scope ranging from the contract and performance management of the cleaning & domestic services contract, to the management of ornamental landscaping and ecology zones.

The role and their team (c. 6 Group Grounds Operatives) have four key areas of responsibility, including Cleaning and Domestic Services, Grounds Maintenance, Roadway Management and Landscaping. Through these areas of responsibility, the role will ensure that customers operating on the lot are provided with, at all times, an environment commensurate with a world leading facility for producing film and television content.

The role will work proactively with the Head of Production Management and the Head of Studio Services, to deliver planned and periodic works, both during and between productions, ensuring minimal disruption to customers and their day-to-day operations.

The role will manage an operating budget of c.£1m p.a., comprised of both statutory, planned and remedial maintenance, ensuring value for money is achieved and costs are tracked to meet budget targets.

Principle accountabilities

Contract Management: The role is responsible for the contract, service and performance management of the following Master Service Agreements:

  • Cleaning and Domestic Services,
  • Window Cleaning,
  • Pest Control,
  • Winter Gritting,
  • Landscaping and Tree Management,
  • Green Roof Maintenance

General Cleaning Services: The role is responsible for ensuring that cleaning resources are deployed effectively to ensure minimum standards of cleanliness are achieved at all times to meet customer expectations and provide a pleasant and hygienic environment for all Studio users. This will include regular planned cleaning, janitorial cleaning, reactive cleaning, and planned periodic cleaning programmes. The role will also be responsible for the procurement and management of washroom consumables, ensuring that adequate stock is available on site to meet the variable site population needs and mitigate short term supply chain issues

Specialist Cleaning Services: The role is responsible for planning, procuring and managing specialist cleaning resources to complete an annual programme of deep cleans to Studio assets, including gantry and internal acoustic fleece cleaning, external building jet washing, internal/external window cleaning, heritage roof and skylight cleaning, roadway/apron jet washing & cleaning etc

Grounds Management: The role is responsible for the efficient management of the Studio grounds, ensuring that green spaces, studio/building curtilage, hedgerows, pathways and carparks are maintained to ensure that they are well presented, free from litter & debris and maintained in a healthy state at all times. This includes regular litter picking/collections, emptying of site bins/smoking bins, bulk waste removal and disposal, grass cutting and edging, weeding and spraying, trimming and sculpting. Grounds teams are also responsible for regular site inspections, reporting Health and Safety Concerns via SHOUT and Facilities concerns via Loc8

Roadways Management: The role is responsible for the effective management of the Studio’s road and pathway network, ensuring that it is maintained in a safe, clean and well-presented state at all times. This will include the management and programmed use of the road cleaning plant, regular winter gritting, snow and ice clearance, management of road closure and traffic management systems, and siting and storage of vehicle protection infrastructure (anti-collision barriers and K-Rails etc).

Landscaping: The role is responsible for the management of the Studio’s landscaped spaces. This includes ornamental landscaping, lawns, areas of protected biodiversity net gain (BNG), green roofs, hedgerows and culverts, potted planting, Tree stock, balancing ponds and interceptors, and the perimeter clearway. This will be achieved through a combination of self-delivered planned and remedial tasks and an annual programme of sub-contracted specialist works. The role holder will be responsible for developing an annual prioritised landscaping plan and delivering against that plan within budget and within the tight constraints of seasonal planting

Tree Maintenance: The role is responsible for completing the bi-annual tree stock condition survey, and then delivery of the resultant programme of remedial actions that are highlighted to maintain the safety and health of the Studio’s tree stock. This will include dead wooding, felling and planting etc. The role is also responsible for the annual Christmas tree budget and programme, sourcing suitable sustainable trees for Studio spaces, and ensuring their decoration and ongoing management to maintain their health while is situ, and safe removal and re-planting once completed

Continuous improvement: Across the above, ensure that the day-to-day activities are executed efficiently and to a high standard by their teams, while continually identifying improvements to processes, tools and resourcing that will drive positive change and structural improvements in customer experience. Collaborate with colleagues and, where - when appropriate – customers to validate and successfully communicate these changes.

Performance KPIs: The role will measure their department’s (and contractor’s) performance by putting in place a simple and clear set of KPIs (financial and outcome), use these to identify priorities for improvement and drive action.

Skills and experience

Essential Criteria

  • Experience in Facilities Management or equivalent customer-facing operation.
  • Experience working in a management or supervisor position in the Facilities Management
  • Knowledge of commercial and performance contract management.
  • Knowledge of Cleaning Science and technology.
  • Knowledge of landscaping and land management.
  • Strong leader who sets clear standards, motivates and drives performance through their teams
  • Highly organised & commercially aware.
  • Excellent communication skills and customer focused.
  • Adept managing challenging conversations.
  • Ability to plan effectively in dynamic environments to deliver complex programmes of work.
  • Capable of working to strict targets and timescales with an ability to set deadlines.

Desirable criteria

  • Degree-level education or equivalent work experience
  • NEBOSH General Certificate in Health and Safety.
  • Experience working in the film, television and media sectors.
  • Landscape and cleaning management experience.
  • Track record of defining and implementing process/tech/people changes to step-change performance
  • Knowledge of production organisation and processes.
  • Knowledge of key systems e.g., SBS, Loc8, Site Audit Pro, and SHOUT.
  • Knowledge of Incident Management
