The Role

Oak Tyres UK Ltd and ETB are part of Oak Group Holdings Limited. Together we operate a head office, 13 warehouses and 54 retail sites.

We are looking for an experienced Facilities Manager to keep every Oak Tyres and ETB building safe, secure, legally compliant and fit for trade. You will own building maintenance, security and statutory compliance across this multi-site estate, and lead the work to bring every ETB site up to Oak Group standards.

You will be the single point of contact for landlords, contractors and site managers on all property matters.

Key responsibilities

Building maintenance

• Plan and deliver a planned preventative maintenance (PPM) schedule for every site, covering building fabric, roofs, gutters, doors, roller shutters, yards and car parks
• Manage reactive maintenance: log, prioritise and close out repairs against agreed response times, keeping trading disruption to a minimum
• Maintain building services, including heating, ventilation and air conditioning, electrical installations, lighting, water systems and drainage
• Oversee workshop equipment and infrastructure, including vehicle lifts, tyre-fitting equipment, compressors and air lines, waste oil tanks and interceptors
• Carry out site condition surveys and keep an asset register for each building
• Manage dilapidations, landlord repairing obligations and lease requirements

Security

• Set and enforce one security standard across the Oak Tyres and ETB estate
• Manage intruder alarms, CCTV, access control, perimeter fencing, gates, shutters and secure tyre storage
• Control keyholding, key and fob registers, alarm codes and the keyholder call-out rota
• Manage alarm monitoring, response contracts and any manned guarding or mobile patrols
• Investigate security incidents, break-ins and stock losses with the police, insurers and site managers
• Complete security risk assessments for each site and act on the findings
• Ensure CCTV is operated in line with UK GDPR and ICO guidance

Statutory and fire compliance

• Keep every site compliant, with a live compliance record and certificates held centrally
• Fire safety: fire risk assessments, fire alarms, emergency lighting, extinguishers, fire doors and evacuation drills
• Electrical safety: fixed wire testing (EICR) and portable appliance testing
• Gas safety: boiler and gas appliance servicing and certification
• Water hygiene: Legionella risk assessments and control (HSE ACOP L8)
• Asbestos: registers and management plans (Control of Asbestos Regulations 2012)
• Lifting and work equipment: LOLER examinations for vehicle lifts and PUWER inspections
• Pressure systems: written schemes of examination for compressors (PSSR 2000)
• Environmental: waste tyre and hazardous waste duty of care, oil storage, interceptor servicing and spill kits

Health and safety

• Make sure building-related risks are assessed and controlled, working with the Group health and safety function
• Manage contractors safely: permits to work, RAMS review, site inductions and CDM 2015 duties
• Support site audits and close out property actions on time

Contractors and suppliers

• Appoint, manage and review maintenance, cleaning, waste, security and compliance contractors
• Run tenders and negotiate contracts for value for money, consolidating suppliers where possible
• Check contractor competence, insurance and accreditations before work starts
• Monitor contractor performance against service levels

Budgets and reporting

• Prepare and manage facilities revenue and capital budgets for both businesses
• Approve facilities invoices and track spend by site
• Report monthly on compliance, open jobs, spend, incidents and risks
• Build a long-term capital plan for roof, plant and building replacement

Projects, refurbishments and integration

• Lead site fit-outs, refurbishments, relocations, openings and closures
• Bring ETB sites up to Oak Group standards for signage, security and compliance
• Manage building works from scope to handover, on budget and on programme

Utilities and sustainability

• Manage utility contracts, meter readings and billing accuracy
• Deliver energy and carbon savings such as LED lighting, controls and solar where viable
• Support Group energy, waste and carbon reporting

Business continuity

• Lead the response to property emergencies such as floods, fires, power loss and break-ins
• Take part in the out-of-hours call-out rota
• Keep site emergency plans and contact lists up to date

Systems and records

• Run a CAFM or helpdesk system for logging jobs and tracking PPM
• Keep leases, drawings, O&M manuals and certificates organised and audit-ready

About you

Essential

• At least 3 years' experience managing facilities across a multi-site estate
• IOSH Managing Safely or equivalent
• Good working knowledge of fire, electrical, gas, water hygiene, asbestos and LOLER requirements
• Experience tendering, managing and reviewing contractors against service levels
• Experience managing a budget and controlling spend
• Knowledge of alarms, CCTV, access control and keyholding
• Confident with Microsoft Office and job logging or helpdesk systems
• Full UK driving licence and willingness to travel and stay away overnight

Desirable

• NEBOSH General Certificate, IWFM Level 4 or above, or SMSTS
• Experience in the automotive, tyre, fleet or retail property sectors
• Knowledge of CDM 2015 client duties
• Experience with CAFM systems
• Experience integrating acquired sites into a group

You will be organised, calm under pressure and a confident communicator with site teams and senior managers, and happy to get hands-on on site when needed.

Working conditions

• Frequent travel between Oak Tyres and ETB sites, with overnight stay
• Out-of-hours call-out rota for property and security emergencies
• Site work in workshops, yards and warehouses, with PPE provided
