Receptionist & Support Administrator - Ophthalmology Outpatient team.
This is a part time opportunity over 3 days - proposed days are:
Mon 08:30-16:00 =7 hours
Tues 08:30- 16:30 = 7.5 hours
Thursday 08:30-16:00 = 7 hours
An exciting opportunity has arisen for a friendly, motivated and well‑organised individual to join our Ophthalmology team in a busy and patient‑focused administrative role.
As the Ophthalmology Outpatient Receptionist & Support Administrator, you will be the first point of contact for patients attending clinics, providing a welcoming and professional reception service. Alongside reception duties, you will undertake a range of administrative tasks to support the smooth day‑to‑day running of the department.
This role is ideal for someone who enjoys working in a fast‑paced environment, takes pride in delivering excellent customer service, and works well as part of a team. You will play a key role in supporting both patients and clinical staff, helping to ensure a positive and efficient outpatient experience.

Greet patients and relatives at reception in a friendly and courteous manner
Answer all telephone enquiries with an understanding of patient confidentiality, taking and relaying messages competently and acting as appropriate
To maintain patient details/appointments efficiently on the patient administration system (Millennium)
To process GP and consultant referrals to the Eye Clinic, ensuring that all referral information is accurately logged
To book new & follow up appointments for the Eye Clinic
To cancel and re-book patients as needed
To support the Eye Clinic administration team with booking follow up appointments and checking out appointments as required
To monitor and action the department’s generic email inbox and referral inbox
To assist the anti-VEGF service as and when needed
To liaise with nurses, doctors, GP’s and other members of the department to provide a quality service for the patients
To ensure that patient confidentiality is always observed and adhered to, whether in person or by telephone
To carry out other clerical duties as required; this will include scanning and attaching documents to patient’s electronic records, updating spreadsheets, RTT / Outcome form data entry
To be flexible to the needs of the department to ensure cover and smooth-running of the department as a whole

Duties will mainly include covering the Ophthalmology reception desk and other administrative duties to support the department. This includes meeting and greeting patients, entering and updating patient information, including completing RTT outcome forms, and booking appointments on the hospital patient administration system (Cerner Millennium). At times, you may also be asked to prepare clinic notes, make and receive telephone calls, and monitor / upload emergency referrals in a timely manner.
This is a fast‑paced role requiring excellent computer skills, strong attention to detail, and the ability to multi‑task while managing ever‑changing priorities. A high level of flexibility is essential, as the post holder will be expected to adapt to the changing needs of the department at any time and support service delivery as required. A positive, flexible approach to workload and teamwork is key. Full training will be provided.
