PA/Administrator

At Amicus Homecare, we pride ourselves on delivering exceptional homecare services in the Bath and West Wiltshire area. We are a well established agency, our commitment to quality care and professionalism sets us apart. We are currently seeking a dedicated and versatile PA/Administrator to join our professional and dedicated office team and to work closely with our Directors and the Registered Manager. The hours of work are part time - up to 30 hours per week . The salary is £27k - 29k pro-rata. Hours of work will typically be 6 hours per day with start and end times being versatile to suit family or childcare commitments.

Key Responsibilities:

1. Provide administrative support to the Directors and Registered Manager.

2. Handle general office tasks including filing, scheduling, and correspondence.

3. Assist with HR documentation compliance, ensuring all documentation and processes are accurate, complete and up-to-date.

4. Manage phone calls, emails, and other communications professionally and efficiently.

5. Utilize computer systems and software to maintain records, generate reports, and support operational needs.

6. Collaborate with other team members to ensure smooth day-to-day operations.

7. Report to management and perform secretarial duties.

8. Type, edit, and format reports and documents.

9. File documents electronically, as well as entering data in line with company protocols.

10. Liaise with managers, service users, care staff, external institutional contacts, and communicate with the public.

11. Direct internal and external calls and emails to designated persons.

12. Arrange and schedule appointments, meetings, and events.

13. Monitor office supplies and order replacements.

14. Assist with copying, scanning, emailing, note-taking, and travel bookings.

15. Prepare facilities and arrange refreshments for events, if required.

16. Observe best business practices and etiquette.

Key Requirements:

1. A genuine interest in the happiness, health, and welfare of older people.

2. Motivation to ensure compliance in the highly regulated health sector to protect vulnerable individuals.

3. 5 years minimum of experience as an Administrative Secretary or PA.

4. Willingness to learn and use internet-based software platforms.

5. Strong organizing, diary, and scheduling skills.

6. Ability to use and monitor social media platforms and use online meeting software.

7. Quality-focused attitude.

8. Advanced proficiency in managing documents and spreadsheets.

9. Exceptional filing, archiving, record-keeping, and organizational skills both hard copy and electronic.

10. Working knowledge of printers, copiers, scanners, and fax machines.

11. Proficiency in appointment scheduling and call forwarding systems.

12. Excellent written and verbal communication.
