The Role

Our client is looking for an experienced and organised Legal Assistant to join their busy conveyancing team in Cardiff.

The successful candidate will provide effective legal secretarial and administrative support to the conveyancing team, helping to ensure the smooth running of the department and providing a professional and friendly service to clients.

This is an excellent opportunity for someone with previous experience in a legal or conveyancing environment who is looking to develop their career within a well-established firm.

Key Responsibilities

  • Providing day-to-day legal secretarial and administrative support to conveyancing fee earners.
  • Managing diaries, appointments and other administrative commitments.
  • Preparing correspondence, documents and other legal paperwork using audio typing and word processing systems.
  • Preparing and sending routine correspondence and dealing with incoming and outgoing post.
  • Opening, maintaining, storing and closing client files in line with the firm's procedures.
  • Assisting with the preparation and organisation of documents relating to conveyancing transactions.
  • Maintaining accurate and up-to-date client and case records using the firm's case management systems.
  • Preparing mail and relevant enclosures for dispatch.
  • Carrying out photocopying, scanning, filing and general administrative duties as required.
  • Handling telephone calls and enquiries from clients and third parties in a professional and friendly manner.
  • Dealing with routine client queries where appropriate and referring matters to the relevant fee earner when necessary.
  • Maintaining confidentiality when dealing with sensitive client and firm information.
  • Supporting other members of the legal and secretarial team when required.
  • Ensuring telephones are answered promptly and professionally.
  • Working collaboratively with colleagues to ensure a high-quality service is provided to clients.
  • Prioritising workloads effectively to meet deadlines and support the wider conveyancing team.
  • Undertaking any training required to develop skills and improve performance.
  • Carrying out any other reasonable duties as directed by the firm.

About You

The ideal candidate will have:

  • Previous experience working in a legal practice, ideally within a conveyancing department.
  • Experience providing legal secretarial or administrative support to fee earners.
  • Excellent written and verbal communication skills.
  • A professional and confident telephone manner.
  • Strong attention to detail and accuracy.
  • Good organisational and time-management skills.
  • The ability to prioritise work effectively and meet deadlines.
  • Good knowledge of Microsoft Office, including Word and Outlook.
  • Experience using legal case management systems would be advantageous.
  • The ability to handle confidential and sensitive information with discretion.
  • A professional and client-focused approach.
  • The ability to work effectively both independently and as part of a team.
  • The confidence to deal with clients and third parties professionally.
  • A willingness to learn and develop within the role.
