About the Role

As Secretary, you will work closely with senior managers and service leaders, ensuring their diaries, meetings and priorities are effectively managed. • Handling enquiries, correspondence and communications professionally and efficiently.
  • Preparing, formatting and maintaining reports, presentations, agendas and minutes.
  • Supporting key meetings and taking accurate minutes.
  • Managing confidential and sensitive information in line with data protection requirements.
  • Coordinating documents and ensuring effective electronic records management.

  • Providing flexible support across the wider secretarial team when required.

What We're Looking For

We are seeking someone who brings energy, initiative and excellent organisational skills to the role. You will be able to manage competing priorities, work independently and maintain the highest standards of professionalism and confidentiality.

You will ideally have:

  • SVQ Level 3 in Administration/Secretarial Studies (or equivalent qualification).
  • Previous experience in a secretarial role supporting senior management teams.
  • Excellent communication and customer service skills.
  • Strong attention to detail and the ability to manage competing priorities using excellent organisational skills
  • Experience using Microsoft Office applications.
  • The ability to build effective working relationships with colleagues and external partners.
  • Experience of managing sensitive information and working within data protection requirements.
  • Experience within a public sector, multidisciplinary or partnership environment would be advantageous.

If you are the successful candidate, you will be required to carry out a Disclosure Scotland check.
