Full job description

We are a well-established firm of Chartered Surveyors based in Edgbaston, Birmingham, acting for a range of large corporate clients with property portfolios across the UK.

We are seeking an experienced and highly organised Secretary / Administrator to support our professional team in a varied and responsible role.

This is a part-time, permanent, office-based position, ideally covering 20–26 hours per week across at least four days, with flexibility to agree slightly fewer hours or some flexibility for the right candidate.

The Role

You will provide high-quality secretarial and administrative support to multiple fee earners and help ensure the smooth day-to-day running of the office.

For the right person, there is scope to expand the role over time, with opportunities to become involved in property-related research, drafting documentation, and supporting job progression.

Key Responsibilities

  • Comprehensive secretarial and administrative support to the surveying team
  • Preparing, formatting, and proofreading reports, property documents, and correspondence (Word and Excel)
  • Audio typing and document production from notes and dictation
  • Managing correspondence, emails, and telephone calls
  • Diary management, scheduling meetings, and coordinating appointments
  • Maintaining organised digital and physical filing systems
  • General office administration, including data entry, document management, and monitoring/ordering office supplies
  • Assisting with meeting organisation, note-taking, and follow-up actions
  • Proactively identifying tasks and improvements during quieter periods

About You

You will be an experienced, proactive, and organised professional who enjoys supporting a team in a structured but friendly office environment.

Essential:

  • Previous experience in a secretarial or senior administrative role
  • Experience within property, legal, or professional services strongly preferred
  • Excellent written and verbal communication skills
  • Strong typing and document production skills, including formatting larger reports
  • High levels of accuracy and attention to detail
  • Confident user of Microsoft Word, Excel, and Outlook
  • Ability to prioritise effectively and manage multiple deadlines
  • Professional, reliable, and discreet
  • Comfortable working independently and as part of a small team
  • Open to learning new systems and technology

Desirable:

  • Experience of audio typing and dictation
  • Familiarity with property or real-estate documentation
  • Comfortable working with both handwritten and digital information
