We are seeking a dedicated, organised, and detail-oriented Medical Secretary to join our healthcare team.
The successful candidate will provide high-quality administrative support to our clinicians and contribute to the smooth and efficient running of the practice. This is an important patient-facing role, requiring excellent communication skills, professionalism, discretion, and a commitment to providing a positive patient experience.

Key Responsibilities
- Manage patient appointments, including scheduling, confirming, and rescheduling appointments as required.
- Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with relevant data protection requirements.
- Answer telephone calls and respond to patient and healthcare professional enquiries in a professional, courteous, and empathetic manner.
- Prepare, format, and tidy clinical letters and correspondence drafted by clinicians, ensuring they are clear, accurate, professionally presented, and ready for distribution.
- Send completed clinician letters and correspondence to patients and to other healthcare professionals or organisations as directed by the clinician, ensuring they are sent to the appropriate recipients and within the required timescales.
- Prepare medical reports, documentation, and other administrative materials as required.
- Liaise with clinicians, healthcare professionals, patients, and other members of the practice team to support an efficient workflow.
- Assist with billing enquiries and insurance verification processes where required.
- Monitor and manage administrative tasks to ensure that work is completed accurately and within appropriate timescales.
- Maintain a professional, organised, and welcoming environment for patients and colleagues.
- Undertake other administrative duties appropriate to the role.
Essential Skills and Experience
- Previous experience in an administrative or office-based role; experience within a healthcare setting is desirable.
- Excellent organisational skills and the ability to prioritise and manage multiple tasks effectively.
- Strong verbal and written communication skills.
- A professional, friendly, and empathetic approach when dealing with patients and colleagues.
- Excellent attention to detail and a commitment to accuracy.
- Good working knowledge of Microsoft Office and standard office software.
- Ability to work independently while also contributing effectively as part of a team.
- Ability to remain calm, organised, and professional in a busy healthcare environment.
- A strong understanding of confidentiality and the importance of handling sensitive patient information appropriately.
