JOB DESCRIPTION

JOB TITLE: Medical Secretary

SALARY: £20,000 - £24,000 per year dep on experience

HOURS: Full Time /Part time

RESPONSIBLE TO: Business and Operations Manager

ACCOUNTABLE TO: Business and Operations Manager

JOB PURPOSE

Manage day to day secretarial work, with regard to typing of Consultant’s correspondence.

To work as part of a team taking in providing secretarial support for the consultants and, with particular responsibility for ensuring clinical correspondence (clinic tapes, imaging reports, discharge summaries) are produced in a timely fashion as delegated by the Team Leader.

MAIN DUTIES AND RESPONSIBILITIES

  • To assist with the typing of all correspondence relating to clinics, as well as typing departmental correspondence.
  • Regularly liaising with Team Leader for Secretarial Services to ensure departmental key performance indicators are achieved.
  • Managing diaries, booking meetings and taking minutes where appropriate.
  • Receive enquiries from Consultants and staff, resolving enquiries of a more complex nature and dealing with them as appropriate.
  • Liaise professionally with all departments regarding appointments, waiting lists and cancellations ensuring Beacon Medical Services Groups policies are adhered to.
  • To provide cross cover for secretarial team during annual leave and sickness.
  • Co-operating in the introduction of new procedures, policies or technology, assisting managers in its implementation.
  • To set up and maintain filing systems ensuring all documents are accurately and are appropriately archived.
  • Compiling and maintaining up-to-date secretarial job plan/cover folder for secretarial team.
  • To take responsibility for patients notes in the office. To implement secretarial and administrative policies to track medical records and referral letters.
  • To open and distribute post, prioritising any urgent post and ensuring relevant documentation is attached in addition to acting promptly and appropriately to all e-mail correspondence.
  • To participate in appraisals and personal reviews and work to achieve agreed set objectives.
  • To participate in appropriate training and development activities.

This is not an exhaustive list of duties and a regular review will take place with the potholder as part of their on going development and performance management.
