Executive and Media Support Assistant
Location: Belfast/remote
Reports To: Directors
Job Type: Flexible
About the Role
We are seeking a highly organised, tech-savvy Executive and Media Support Assistant with a media background to join our dynamic team. In this pivotal role, you will act as the central hub of our business—working closely with the Managing Director (MD), supporting the core team, and co-ordinating our remote editorial and sales staff.
The ideal candidate bridges the gap between traditional media management and modern digital workflows. You will handle everything from data systems and client relations to chasing copy, utilising AI tools for efficiency, and helping to bring our events to life.
Key Responsibilities
1. Executive & Team Support
- Provide direct administrative and tactical support to the MD and the wider team.
- Act as a reliable point of contact for internal staff, handling daily ad-hoc requests.
2. Systems, Tech & Data Management
- Manage and regularly update our CRM system and internal Google Sheets.
- Upload finalised content, articles, and advertising assets to the website.
- Understand and implement AI tools to streamline processes, automate tasks, and draft messaging.
3. Remote Team Coordination & Quality Control
- Collate, review, and double-check work submitted by our remote editorial and sales teams to ensure accuracy and high standards.
- Actively chase missing advertising copy and editorial content from writers, clients, and brands to ensure strict deadlines are met.
4. External Communications & Relations
- Handle incoming and outgoing messages across various channels.
- Deal professionally and efficiently with key suppliers, partners, and clients.
5. Event Co-ordination
- Assist with the planning, logistics, and execution of company and industry events.
- Support on-site or virtual event management, ensuring a seamless experience for guests and sponsors.
Requirements & Qualifications
- Background: Proven experience or strong background in media, publishing, or digital communications.
- Tech Skills: Highly proficient with Google Workspace (especially Google Sheets), CRM databases, and Content Management Systems (CMS) for website uploads.
- AI Literacy: Comfortable using or learning AI tools to improve daily work speed and message drafting.
- Organisation: Exceptional organisational and time-management skills; a natural at juggling multiple deadlines and tracking down missing assets.
- Communication: Excellent written and verbal communication skills for dealing with remote teams, suppliers, and clients.
- Mindset: A proactive, "can-do" problem solver who thrives in a collaborative, fast-paced environment.
Pay: £25,420.00-£32,000.00 per year
