Job Summary

We are seeking a highly organised and proactive Broker Admin Assistant to support our brokerage team. This role involves providing comprehensive administrative assistance to ensure smooth operations within the brokerage environment. The successful candidate will utilise their excellent communication skills and technical proficiency to manage various administrative tasks, maintain client records, and facilitate effective sales administration. Duties

  • Manage and update client information using CRM software, ensuring accuracy and confidentiality.
  • Assist with sales administration tasks, including processing documentation and preparing reports using Microsoft Excel, Word, PowerPoint, and Outlook.
  • Support the team in preparing presentations and correspondence for clients and internal stakeholders.
  • Organise schedules, appointments, and meetings efficiently, demonstrating strong organisational skills.
  • Respond promptly to client enquiries via email or phone, delivering exceptional customer service.
  • Maintain filing systems both digitally and physically to ensure easy retrieval of information.
  • Coordinate with other departments to facilitate smooth workflow processes.
  • Utilise Sage accounting software for invoicing and financial record keeping as required.
  • Perform general administrative duties such as data entry, photocopying, and document management.

Skills

  • Proficiency in Microsoft Office suite including Word, Excel, PowerPoint, Outlook, and other relevant programmes.
  • Experience with CRM software and Sage is highly desirable.
  • Strong sales administration experience combined with excellent organisational skills.
  • Exceptional communication skills in English, both written and verbal.
  • Demonstrated IT literacy with the ability to adapt quickly to new software tools.
  • Proven ability to manage time effectively and prioritise tasks efficiently.
  • Customer service orientation with a professional approach to client interactions.
