Job Overview

We are seeking an experienced and highly organised Legal Secretary to provide dedicated support to our Commercial Property / Conveyancing Supervisor. This is a key role within our busy property department, requiring exceptional transcription and audio typing skills, as a significant proportion of the position involves producing accurate legal documents and correspondence from dictated recordings.

The successful candidate will play a vital role in ensuring the smooth and efficient management of conveyancing and commercial property matters, providing both secretarial and administrative support in a fast-paced legal environment.

Key Responsibilities

  • Accurately transcribe and prepare legal correspondence, documents, file notes, contracts, reports, and forms from digital dictation recordings.
  • Produce a high volume of audio typing and transcription work to a consistently high standard.
  • Provide comprehensive secretarial support to the Commercial Property Supervisor.
  • Open, maintain and organise client files in accordance with firm procedures.
  • Manage diaries, schedule appointments, and coordinate meetings.
  • Liaise professionally with clients, estate agents, lenders, solicitors, developers, local authorities, and other third parties.
  • Handle incoming and outgoing correspondence, including emails, telephone calls, and post.
  • Assist with conveyancing transactions from instruction through to completion and post-completion administration.
  • Prepare and submit Land Registry and other property-related documentation when required.
  • Maintain accurate electronic and paper filing systems.
  • Assist with billing, file management, and general office administration duties.

Skills and ExperienceEssential

  • Previous experience as a Legal Secretary within a law firm is essential.
  • Excellent audio typing and transcription skills with a high degree of accuracy.
  • Ability to transcribe dictated correspondence and legal documents efficiently and independently.
  • Strong organisational skills and the ability to manage competing priorities.
  • Excellent attention to detail and proof-reading abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Word, Outlook, and other Microsoft Office applications.
  • Ability to handle confidential and sensitive information with discretion.

Desirable

  • Previous experience within a Conveyancing or Property Department.
  • Familiarity with commercial property matters and conveyancing processes.
  • Experience using legal case management and digital dictation systems.
  • Knowledge of Land Registry procedures and property transactions.
