Full job description

We’re looking for a Tech Operations Manager to own and improve the systems that run our organisation.

This is not an IT support role or a software developer position. It’s a systems ownership role for someone who can design, protect, and evolve operational workflows using tools like Airtable, automations, and integrated platforms.

You will be responsible for ensuring our systems are reliable, scalable, safe, and usable, particularly in a safeguarding- and compliance-heavy environment.

In this role we would like you to take real ownership of and take decisions that shape systems.

Responsibilities

System ownership & architecture

  • Owning the structure and long-term health of our Airtable bases
  • Designing and maintaining relational data models (tables, links, permissions)
  • Proactively making decisions about how data is structured, stored, and accessed
  • Proactively preventing duplication, drift, and “workaround creep”

Process design & improvement

  • Translating large and complex company-wide operational processes into clear, reliable systems
  • Improving existing workflows to reduce risk, admin, and errors
  • Designing systems that support scale without breaking safeguarding or compliance
  • Turning informal processes into documented, auditable workflows

Automation & tooling

  • Identifying where automation adds value — and where it creates risk
  • Working with tools such as Make/Zapier (or equivalent) to automate safely
  • Testing, documenting, and rolling out system changes responsibly
  • Ensuring systems remain understandable for non-technical users

Data quality, risk & safeguarding support

  • Maintaining high data accuracy under pressure and volume
  • Designing systems with data minimisation and audit-readiness in mind
  • Supporting safeguarding and compliance processes through system design
  • Ensuring sensitive data is handled appropriately and securely

Collaboration & ownership

  • Acting as the bridge between operations, leadership, and technology
  • Confidently challenging changes that would harm system integrity
  • Documenting systems so knowledge doesn’t live in one person’s head
  • Taking accountability for system decisions and their long-term impact

We work with schools and local authorities to provide specialist tutors and mentors for children and young people with complex educational needs.

You

We don’t require a software engineer for this role, or someone with formal computer science qualifications. This role is a good fit if you enjoy owning systems end to end and like making messy processes clean and reliable.

Required

  • Strong experience using Airtable or similar database-driven tools
  • Proven ability to own and improve operational systems, not just use them
  • Experience designing or significantly improving workflows and processes
  • High attention to data quality, structure, and risk
  • Confidence making decisions and explaining trade-offs
  • Comfortable working in complex, regulated environments

Desirable

  • Experience with automation tools (Make, Zapier, APIs)
  • Experience with CRM or multi-system environments
  • Understanding of relational data concepts (one-to-many, many-to-many)
  • Experience supporting safeguarding, compliance, or audit-heavy processes
  • Ability to document systems clearly for non-technical team
